What are the responsibilities and job description for the Operations Manager position at Parent Education & Advocacy Leadership (PEAL) Center?
About the Role
We are looking for a highly organized, detail-oriented Office Manager to help keep our day-to-day operations running smoothly. This is a part-time, 25-hour/week position that will serve as the backbone of our internal operations. You will work closely with the Executive Director and team to keep systems organized, support administrative coordination, and ensure that priorities are tracked and followed through.
This role is also the primary point of contact for our external partners, including accounting, HR, and IT. You will not be responsible for leading those functions, but you will play a key role in keeping everything moving and well-coordinated. If you are someone who enjoys creating order, following through on details, and helping a team function more effectively, this role is a great fit.
What You'll do
Keep things organized and moving
- Support scheduling, document preparation, and follow-up on key priorities
- Manage shared inboxes and help ensure timely responses
- Prepare materials for meetings and track action items
Support day-to-day operations
- Coordinate logistics for staff meetings, projects, and internal initiatives
- Maintain organized systems, files, and documentation
- Help improve simple processes to keep work flowing smoothly
Coordinate with vendors and partners
- Serve as the main point of contact for accounting, HR, and IT vendors
- Track requests, follow up, and ensure issues are resolved
- Maintain vendor records, contracts, and key information
Provide administrative finance and HR support
- Organize invoices, receipts, and documentation for outsourced accounting
- Support expense tracking and basic recordkeeping
- Assist with onboarding coordination and HR documentation
Support programs and events
- Help coordinate trainings, events, and organizational activities
- Assist with donor tracking and development-related tasks
- Maintain accurate data in Salesforce and other systems

- Clear and professional communication
- Comfort working across teams and with external vendors
- Basic familiarity with financial and HR processes (you don’t need to be an expert)
- Experience in an administrative, office management, or coordination role
