Responsibilities
Client Experience & Reception
- Client Experience: Greet clients and guests with warmth and professionalism, both in person and over the phone.
- Client Communication: Respond to inquiries with clarity, compassion, and promptness; maintain a welcoming office environment that reflects our firm’s values.
- Office Environment: Maintain a tidy, organized, and professionally inviting front office that reflects the firm’s faith-forward identity.
Paralegal & Legal Support
- Document Preparation: Assist attorneys in drafting and preparing legal documents such as pleadings, estate plans, contracts, and correspondence.
- Case Management: Organize and maintain case files, including scanning, indexing, and archiving documents.
- Court Filings: Prepare and file court documents, including e-filing.
- Legal Research: Conduct basic legal research as directed by the attorneys.
Administrative Operations
- Calendar Management: Coordinate attorneys’ calendars, schedule client appointments, manage court deadlines, and track critical dates.
- Administrative Tasks: Perform general administrative duties including photocopying, filing, data entry, and office supply management.
- Billing & Intake Support: Assist with client intake processes and support billing and invoicing workflows as needed.
Marketing & Social Media
- Content Creation: Develop and schedule engaging social media content that reflects the firm’s voice, values, and faith-forward mission.
- Brand Consistency: Help maintain consistent branding across digital platforms, the firm website, and printed materials.
- Marketing Support: Assist with drafting newsletters, promotional materials, client communications, and other outreach initiatives.
- Community Engagement: Identify and support opportunities for community involvement, referral partnerships, and local visibility.
Strategic Direction & Goal Setting
- Goal Development: Collaborate with firm leadership to establish short- and long-term operational and growth goals.
- Execution & Accountability: Help track progress toward firm goals, identify obstacles, and propose solutions to keep the firm moving forward.
- Process Improvement: Evaluate and improve office workflows, systems, and procedures to increase efficiency and client satisfaction.
- Strategic Input: Provide informed perspective on the firm’s direction, including client experience, staffing needs, and service offerings.
Qualifications
Required:
- High school diploma or equivalent required.
- Strong organizational and time management skills with excellent attention to detail.
- Professional written and verbal communication skills.
- Proficiency with Microsoft Office Suite, Google Workspace, and general computer literacy.
- Ability to maintain strict confidentiality and handle sensitive client information with discretion.
Preferred:
- Paralegal certification or relevant legal experience.
- Experience with social media management and/or basic marketing.
- Experience in a law firm or professional services environment.
- Familiarity with legal case management or practice management software.
Compensation & Hours
Pay Range: $17 – $22 per hour, commensurate with experience.
Hours: Full-time, 40 hours per week.
