Responsibilities

  • Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette.
  • Operate multi-line phone systems to handle incoming calls efficiently, transferring or taking messages as needed.
  • Maintain organized filing systems, both physical and digital, ensuring easy access to important documents.
  • Perform data entry tasks using Microsoft Office and Google Workspace applications with accuracy and speed.
  • Assist with bookkeeping using QuickBooks, including invoicing, expense tracking, and financial record keeping.
  • Coordinate calendar management and schedule appointments or meetings for staff members.
  • Support office management activities such as supply inventory, mail distribution, and general clerical support.
  • Proofread correspondence, reports, and other documents to ensure clarity and correctness.
  • Provide customer support by addressing inquiries professionally and promptly.
  • Handle confidential information with discretion while maintaining high levels of organization.

Qualifications

  • Proven experience in office administration or clerical roles with a strong background in office management and administrative support.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and basic computer literacy skills.
  • Experience with QuickBooks or similar bookkeeping software is highly desirable.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment.
  • Strong typing skills along with attention to detail for proofreading and data entry tasks.
  • Bilingual abilities are a plus to assist diverse client needs; fluency in English is required.
  • Demonstrated phone etiquette skills and experience managing multi-line phone systems.
  • Personal assistant experience or familiarity with calendar management is advantageous.
  • Ability to handle multiple responsibilities simultaneously while maintaining professionalism and efficiency.
