The Sales Support Associate is the operational backbone of the sales team. This role ensures the day-to-day sales process runs smoothly by managing phone and walk-in customer interactions, supporting order entry and fulfillment accuracy, generating availability communications, and handling regulatory compliance tasks. In addition, this role owns inventory management — maintaining accurate, real-time crop data and translating that information into actionable insights for both the sales and production teams. Customer Service & Order Support
- Answer inbound phone calls and direct inquiries to the appropriate sales representative.
- Provide excellent service to walk-in and pick-up customers, representing Panoramic Farm’s standards of quality and professionalism.
- Support sales representatives by completing order entry for incoming orders and maintaining accurate customer records.
Inventory Management
- Maintain accurate and up-to-date crop status in the inventory software system, including cycle/scrap counts, specifications, buffer levels, and comments.
- Perform regular inventory and scrap counts; document scrap reasons for reporting purposes.
- Make recommendations on crops that should be discounted or promoted based on current inventory age and condition.
- Allocate and protect mother-stock required for propagation.
- Oversee inventory of branded and perennial tags; ensure tags are received and organized for all required crops.
Marketing & Communications
- Generate weekly product availability emails and crop notes to inform customers of current crop status.
- Collaborate with the entire sales team to produce visually engaging email blasts to promote available inventory; capture photos for the weekly crop photo email blast.
- Assist the sales team by obtaining on-demand counts and photos for customer inquiries.
- Advise the sales team promptly of any inventory issues or changes that could impact customer orders.
- Participate in weekly sales meetings.
Production Liaison
- Walk crops regularly with the growing team, serving as an additional set of eyes on pest pressure, spacing, pruning needs, and overall crop health.
- Alert the growing team to any concerns observed in the field.
- Participate in daily production meetings.
Regulatory Compliance
- Submit USDA applications for Boxwood Phytosanitary Certificates and schedule required inspections in a timely manner.
- Minimum two-year degree OR two years of horticultural or nursery industry experience preferred.
- Ability to tolerate outdoor working conditions; physically able to walk on gravel and slick surfaces and move up to 85 lbs.
- Proficient in Microsoft Office; experience with inventory or order management software preferred.
- Excellent written and verbal communication skills.
- Genuine interest in plants; familiarity with shrubs, perennials, and grasses a plus.
- Spanish language skills are a plus.
