What are the responsibilities and job description for the Client Service Specialist position at Panning Wealth?
Salary Range: $45,000 - $55,000 per year
Client Service Specialist | Full-Time | In-Person (Greenville, SC)
You will be the person our clients call, email, and see when they need something done: a withdrawal, a transfer, a form, a beneficiary change, a question about where something stands. Most of the work happens after the call ends. You will prepare and submit the paperwork, follow it until it is actually complete, catch the snag before the client has to ask about it, and keep our systems accurate. You will also run projects that make the firm work better, from writing procedures to improving how we prepare for client reviews.
This is not an advisor role. You will not give financial advice or sit in client meetings. It's a role for someone who enjoys taking care of people, is organized, detail-oriented, and has a real interest in the financial planning field.
This work is most of what a client experiences from us between meetings. When it is done well, the meeting recap goes out the next day, the withdrawal shows up when we said it would, the phone gets answered, and when a client retires or sells a business, they hear from us. That is the difference between a client who feels taken care of and one who feels like a file, and it is why this seat matters.
Over time, this role is intended to grow in responsibility, helping define service standards and mentoring future staff as the firm grows.
About Panning Wealth
Panning Wealth is a boutique financial planning firm focused primarily on business owners, while also serving a select group of professionals and executives.
Many of our clients are owner-led businesses navigating complex financial decisions alongside the demands of running a company and supporting their families. We take seriously the trust our clients place in us, approaching our work with a strong sense of stewardship, care, and responsibility: especially during seasons of change that affect both their business and personal lives.
We are a small, highly intentional team that values professionalism, clarity, and doing the right thing for clients. We pride ourselves on thoughtful advice, meticulous service, and a calm, supportive environment where high standards are the norm.
What You Will Do
- Serve as a primary point of contact for client service requests via phone, email, and walk-ins
- Process account withdrawals, distributions, and maintenance requests accurately and promptly
- Prepare, pre-fill, collect, and notarize client documents
- Own service requests end-to-end, ensuring issues are resolved completely and correctly
- Maintain accurate records across CRM, custodial platforms, and planning systems as a natural result of service execution
- Prepare for client review meetings: run the reports, build the review kit, and send the recap and action items afterward
- Send the birthday cards, the congratulations, and the holiday gifts, and notice when a client retires, sells a business, or has a kid graduate
- Run projects that make the firm work better, including writing and updating our step-by-step procedures
- Keep the office running: supplies, backups, and greeting clients when they come in
You Are Not A Fit If
- You prefer loosely defined roles without clear expectations
- You dislike detailed or process-oriented work
- You are seeking a financial advisor or sales job
- You find client-facing work draining or get anxious on the phone
- You are uncomfortable owning work independently
How You'll Be Supported
You will not be figuring this out alone.
There are step-by-step procedures for every process, so you aren't left hanging. We meet every morning for a short task check-in and once a week to review projects, and you will have full visibility into the firm calendar, so you always know what is coming and rarely have to wait on an answer. You will work with real clients from the first week, with all of your work reviewed until you're up-to-speed. You will have 30-, 60-, and 90-day check-ins with written objectives, then quarterly reviews.
No sales goals, no "finance bro" culture, and no working weekends.
Licensing
- You'll take the Securities Industry Essentials (SIE) exam within your first 6 months (firm paid). The SIE gives you a strong foundation of knowledge that you'll use every day in this business.
- You'll become a notary right away if you aren't already (firm paid). There is no exam to become a notary.
Compensation & Benefits
- Base salary: $45,000 to $55,000, depending on relevant experience and existing financial licenses
- Quarterly discretionary bonus based on individual and firm performance
- 10 days paid time off 14 paid holidays
- Health insurance, dental insurance, and a retirement plan
Our Core Values
Curiosity: Seek to understand. Always learning. Never stop asking questions.
In this role: you want to know why a process works the way it does and how it fits the bigger picture, not just how to finish the task in front of you.
Hospitality: Make people feel not only respected and taken care of, but "wowed".
In this role: It's the combination of getting all the little things right, doing everything you say you're going to do, and going above and beyond expectations at every opportunity.
Ownership: Responsibility for outcomes, not tasks.
In this role: a project or client request is done when every single step has been confirmed complete, not just when the form is sent or request submitted, and you never fill a gap with a guess.
Integrity: Do the right thing even when it's inconvenient.
In this role: when you make a mistake, you say so right away so it can be fixed, instead of hoping nobody notices.
Courage: Say the hard thing and make the hard decision.
In this role: you speak up early when something is stuck, and you share your own ideas.
Excellence: Details matter.
In this role: names, numbers and dates get checked, then checked again, before anything goes out.
These values aren't slogans for us: they show up in how we communicate with clients, how we handle details, and how we treat each other day to day. If you want a role where professionalism, care, and high standards are the norm, you'll thrive here.
