Pangea Restaurant Group is seeking a highly organized, proactive and detail-oriented Operations Executive Assistant to join our multi-concept restaurant group in Chicago. This is a critical support role to help manage and grow our portfolio of concepts. The ideal candidate is someone who thrives in a fast-paced environment, excels at implementing systems and processes and is committed to upholding the highest standards across all aspects of our operations.
In this role, you will help execute strategic, day-to-day priorities to ensure operational excellence and consistent growth. You will assist with standardizing protocols, driving special projects and handling whatever is needed to support efficient management of our restaurants.
Responsibilities
1. Operational Support & Execution
- Support the Head of Operations in day-to-day oversight of the restaurant group's concepts.
- Support operational initiatives such as site visits, meeting coordination, performance tracking, team scheduling optimization, inventory oversight, and guest experience improvements.
- Act as a liaison between the Head of Operations and the restaurant leadership teams (including in-person coordination across Chicago and locations).
- Help maintain the highest operational standards by ensuring consistent execution of Pangea’s vision and protocols.
2. Documentation, Standardization & Communication
- Assist with the development, documentation, and implementation of standardized operating procedures, training materials, and best practices across all concepts.
- Turn calls, voice notes, and conversations into clear, structured documents (briefs, SOPs, recaps with action items, owners, and dates).
- Build agendas, capture notes, and action items; own all follow-up until completion.
- Send, receive, track, and organize documents while maintaining a system of record.
- Prepare reports, presentations, and data analysis to monitor performance and drive decision-making.
3. Projects, Special Initiatives & Administration
- Manage special projects as assigned (new concept rollouts, process improvements, growth initiatives).
- Handle confidential information with discretion and professionalism.
What We're Looking For
- 3–5 years of experience in an executive assistant, operations support, project coordination, or similar role.
- Exceptional organizational and project management skills with the ability to juggle multiple priorities in a fast-paced, dynamic environment.
- Strong written and verbal communication skills; comfortable interacting with restaurant teams, vendors and senior leadership.
- Proficiency in Google Workspace and the ability to quickly learn new systems.
- High attention to detail and a proactive, solutions-oriented mindset.
- Availability for flexible hours, including occasional evenings/weekends.
- Bachelor’s degree.
This is a full-time role, with some weekends/evenings, located in the South Loop.
