JOB TITLE: Front Desk Receptionist
GENERAL SUMMARY OF DUTIES: Provide professional, polite, clinical services in the
operation of a medical office. Act as a patient advocate and support the mission of the practice
which promote office efficiency and patient satisfaction. Greets, instructs, and directs patients
and visitors. Provides information and services to the patient related events at the practice.
Works in conjunction with providers, nurses and other staff members to ensure friendly,
professional, efficient and viable operations.
SUPERVISION RECEIVED: Reports directly to Office Manager.
SUPERVISION EXERCISED: None.
TYPICAL PHYSICAL DEMANDS: Employee will need to handle multitasking in a fast paced
environment. Work may require sitting or standing for long periods of time, some bending,
stooping and stretching for files and supplies and occasionally lift and move up to 50 pounds..
Employee is required to have eye-hand coordination and manual dexterity sufficient to operate a
computer keyboard, photocopier, telephone, calculator, and other minor office equipment. A
normal range of hearing and eyesight is required to record, prepare and communicate
appropriate reports. It is necessary to view and type on computer screens for long periods and to
work in an environment which may be stressful.
TYPICAL WORKING CONDITIONS: Busy medical office environment.
PRIMARY RESPONSIBILITIES: (This list may not include all of the duties assigned.)
Maintain and protect confidentiality of patient information.
Greets all patients and visitors to the office in a timely, cheerful, understanding, patient,
thorough, informative and professional manner, directing them to their appropriate
destination and with the appropriate clinical and non-clinical information
Answer the telephone or return calls in a timely, cheerful, understanding, patient,
thorough, informative and professional manner. Identify the name of the practice and
person answering the phone
Take full responsibility and full ownership of work performed
Facilitate decision-making, conflict resolution and operations to enable the practice to
achieve its goals
Approach problems with initiative, collaboration, a positive proactive attitude and creative
thinking
Communicate with others in a professional, mature, direct and timely fashion and
establishes trusting, professional relations with others
Perform duties related to patient check in, check out and scheduling
Maintain a neat, pleasant, comfortable, professional patient environment as well
as for all of those who work in this office
Conduct work with speed, attention to detail and correct prioritization
Opening and closing the office
o Lock up the doors after the patients and staff have left
o Turn on the alarm system at the end of the day
o Open the phone lines in the morning
o Take any messages left over night off the front desk answering machine
Check-in of patient
o Alerting the nurses or medical assistants when a patient is in need of a room, or if the
patient will be in the front waiting room
Updating demographic information and insurances
o Collect any demographic forms
o Hand out any new or updated information regarding office policies
o Collect any waivers that patient are asked to sign
o Checking for patient documents: Over 18-yrs form, financial policy waivers, updated
insurance
Open and sort mail and check the front office fax
o Giving documents to the appropriate department or provider or scanning documents
into the E.H.R when appropriate
Billing out patients (collecting extra charges, scanning form prescriptions, correcting
billing errors)
o Collecting, posting, and linking payments
o Alerting patient to any balances or credits on the account
o Pending and batching claims to insurances
Proving the money and Checking over receipts to correct mistake
Answering phones and booking appropriate appointments, booking walk-ins
Organizing the day's upcoming appointments, pulling charts if not already in E.H.R
Preparing future charts (prenc, pulling, scanning if needed, chart prep)
Filing
Accepting specimens dropped off by patients (creating visit, alerting nurses and medical
assistants)
Continuity of Care/Coordination of Care:
o Making reminder phone calls for upcoming or past due well visits
o Booking or calling to book follow ups from visit tasks
o Using Televox (sending out reminder calls)
Patient Medical Information requests:
o Preparing documents to be picked up or mailed home
o Records transfers (transfers out and in, organizing new records, prepping records
transfers, mailing records)
Making sure the patient medical record is complete and Communication with specialists
or other doctors
Faxing forms or paperwork when necessary
Scanning and linking forms, old records, transfer records, letters from specialists
Attend daily front desk huddle to optimize flow and patient care
PERFORMANCE REQUIREMENTS:

Flexibility with schedule is required.
Education: High School Diploma
Experience: Medical office experience recommended.
