Chief of Staff

Palmetto Pain Management, LLC
Columbia, SC Full Time
POSTED ON 9/11/2026
AVAILABLE BEFORE 11/10/2026

As Chief of Staff to the CEO at Palmetto Pain Management, you'll work side by side with leadership on everything from clinic operations to daily logistics—tthe person who makes the hard days manageable, the busy days smooth, and the CEO's priorities actually happen. You’ll work across every corner of the business, from clinic operations to compliance to personal logistics, and you’ll do it with warmth, precision, and a genuine love of a full plate. This is not a job for someone who needs their days to look the same twice.

If you’re the kind of person who loves a spreadsheet, color-coded checklist, organization, genuinely enjoys helping people, and can pivot from reviewing a compliance form to picking up a prescription to onboarding a new hire—all before lunch—this role was written for you.

What You’ll Do

Executive & Communication Support

  • Serve as a trusted right hand to the CEO—managing communications, drafting correspondence, and ensuring follow-through on priorities

  • Attend meetings, take detailed notes, and track action items to completion

  • Conduct research and light analysis to support decision-making

  • Handle scheduling, calendar management, and coordination across internal and external stakeholders, especially the COO and our Clinical Leadership team

Operations & Compliance

  • Assist with regulatory and compliance requirements, ensuring processes and records stay current and audit-ready

  • Support dispensing operations, including medication tracking and documentation

  • Support hiring efforts: coordinating interviews, tracking candidates, and making the process seamless for both candidates and leadership

  • Manage employee onboarding and offboarding from start to finish—paperwork, systems access, scheduling, and more

Clinic & Team Support

  • Jump in at the front desk when coverage is needed — check-ins, phones, patient flow

  • Print, copy, scan, and organize documents for clinical and administrative staff

  • Stock and organize office and break room supplies

  • Help set up and break down team meetings or events

  • Help coordinate vendor and facilities needs — flagging issues, following up on repairs, and making sure the right people are looped in when something breaks or needs attention.

  • Pitch in wherever the day needs it — you're not above anything

Personal & Administrative Support

  • Anticipate needs before they become asks; you’re always one step ahead; Be the person the team knows they can come to when something falls through the cracks

  • Run errands—within or outside the office—as needed; Support personal tasks and errands for the leadership team as needed — discretion and reliability are key

Who You Are

  • Background in operations, office management, or executive support

  • Exceptionally organized — you don’t just keep up, you stay ahead

  • Detail-oriented in a way that brings you actual satisfaction, not stress

  • Warm, welcoming, and a natural relationship-builder—with leadership, patients, staff, and vendors all feel good interacting with you

  • Adaptable and energized by variety and different types of tasks; you thrive in environments where no two days are the same

  • Discreet with sensitive information—you understand confidentiality is non-negotiable in healthcare and operating at this level

  • Proactive, solutions-oriented, and comfortable taking initiative

  • An excellent communicator, both written and verbal; not afraid of difficult conversations, challenging deadlines, or communicating about shifting priorities

  • Nice to have:

    • Experience in a healthcare or clinical setting

    • Familiarity with compliance, credentialing, or regulatory processes

What We Offer

  • A meaningful role at a patient-centered pain management practice

  • Competitive compensation and benefits

  • Direct access to and collaboration with leadership and the entire organization

  • A team that values hard work, good humor, and treating people well
