To perform a wide variety of responsible secretarial and routine administrative duties in support of District management staff and to provide general information and assistance to the public.
SUPERVISION RECEIVED AND EXERCISED
Receives general supervision from District management staff.
Duties may include, but are not limited to, the following:
- Type and proofread a wide variety of reports, letters, memos and statistical charts; type from rough draft, or verbal instructions; compose correspondence related to responsibilities assigned.
- Screen office and telephone callers; respond to complaints and requests for information on regulations, procedures, systems and precedents relating to responsibilities assigned; receive and route mail.
- Compile data for special projects; collect and assemble data and background materials for a variety of reports.
- Maintain calendars and schedules of activities, meetings and various events; coordinate activities with other departments, the public and outside agencies.
- Utilize two-way radio to inform, direct or alert maintenance crews; process and file all completed work orders.
- Write purchase orders and requisitions; assign appropriate accounting codes to all invoices.
- Perform general clerical work including filing, scheduling appointments and meetings.
- Organize and maintain filing systems; maintain records related to specific area of assignment.
- Verify and review materials for completeness and conformance with established regulations and procedures.
- Attend meetings; take notes and prepare summary of minutes.
- Compose routine letters from marginal notes or verbal instructions; compose routine correspondence.
- Operate a variety of office equipment including a computer; input and retrieve data and text; organize and maintain disc storage and filing.
- Order and maintain office supplies.
- Perform related duties as assigned.

Experience:
Three years of responsible secretarial and clerical experience.
Experience in a public school district is desirable.
Training:
Equivalent to completion of the twelfth grade. (HS diploma or GED) or higher.
Additional secretarial or clerical coursework is desirable.
Special RequirementTyping Requirement
- 45 net words per minute
- A typing test will be administered to validate speed.
This position requires applicants to have bilingual proficiency in both English and Spanish language.

Examination
The examination components consist of a qualifying written multiple-choice, performance, and oral exam. Applicants meeting the minimum qualifications will be required to take the exam and are notified via email communication of the scheduled date, time, and location. Examination
After the exam procedure concludes for this recruitment, an eligibility list will be established to fill future vacancies. When eligibility lists include open and promotional lists of qualified persons through competitive examination, the promotional list will be used first, unless otherwise stated on this bulletin.
Work Schedule:
This position typically works full-time, eight (8) hours/day, 40 hours/week, and observes a 12-month calendar.
Salary and Benefits
The salary rate for a new employee is at the first step of the appropriate five-step salary schedule for this position. The probationary period is 130 work days (not counting sick, industrial accident). Upon becoming permanent, a one-step salary advance shall be granted with future annual advances up to the fifth step of the salary schedule.

Holidays and Leaves
Seventeen (17) paid holidays that fall within the work year, pursuant to the District's Collective Bargaining Agreement with California Schools Employees Association Chapter 296 (CSEA).
Sick leave shall be granted in the proportion of daily hours worked. Vacation is earned at the prescribed rate as part of compensation, and does not become vested until after completion of the initial probationary period.
Work Environment
Indoor office environment; subject to frequent interruptions.
Exposure to temperature extremes in climate-controlled and outdoor environments when walking to and from buildings.
Physical Demands
The usual and customary methods of performing the job's functions require the following physical demands: sitting for extended periods; some lifting, carrying, pushing, pulling; some bending, stooping, squatting, twisting at waist, and reaching; hand and finger dexterity to operate standard office equipment, computer keyboard and mouse, telephone, two-way radio, use writing instruments for note taking; lift and carry office supplies and equipment weighing up to 25 pounds; vision and hearing in normal audio range with or without correction; exposure to various noises from office equipment/machines, employees, and the public.
