As one of the premier boutique hotels in Thousand Oaks, the Palm Garden Hotel has recently completed extensive renovations and continues to focus on delivering memorable guest experiences. We are looking for a hospitality professional who leads by example, thrives in a fast-paced environment, and enjoys developing team members while ensuring operational excellence.
This position reports directly to the Front Office Manager and plays a vital role in the daily success of the Front Office Department.
What You'll Do
As the Front Office Supervisor, you will help oversee daily front desk operations while ensuring every guest receives exceptional service from arrival through departure.
Leadership Responsibilities
- Supervise, coach, and motivate Front Desk Agents during assigned shifts.
- Lead by example by delivering exceptional guest service.
- Assist with training and onboarding new team members.
- Ensure compliance with hotel policies, brand standards, and service expectations.
- Handle guest concerns and service recovery with professionalism and confidence.
- Support the Front Office Manager with scheduling, shift coverage, daily operations, and performance coaching.
- Conduct shift briefings and communicate important hotel updates.
- Foster a positive, team-oriented work environment.
Guest Service & Operations
- Welcome guests with professionalism and genuine hospitality.
- Perform guest check-in and check-out procedures efficiently.
- Assign guest rooms while accommodating special requests whenever possible.
- Maintain room inventory, reservations, and room status accuracy.
- Coordinate closely with Housekeeping, Maintenance, Sales, and other departments to ensure guest satisfaction.
- Monitor room availability and maximize occupancy through room upgrades and upselling opportunities.
- Answer multi-line phone systems and respond to guest inquiries.
- Process payments, cash transactions, credit cards, and balancing procedures accurately.
- Maintain confidentiality of guest information.
- Resolve guest concerns promptly while empowering staff to create positive outcomes.
- Maintain a clean, organized, and professional front desk environment.
Additional Responsibilities
- Monitor lobby activity and overall guest experience.
- Ensure adherence to safety, security, and emergency procedures.
- Assist with Night Audit coverage when necessary.
- Complete daily reports and documentation accurately.
- Perform additional duties as assigned by management.
Qualifications
Required
- Minimum 1 year of hotel front desk experience.
- Previous supervisory or leadership experience in hospitality preferred.
- High School Diploma or GED.
- Excellent communication and interpersonal skills.
- Strong customer service and conflict resolution abilities.
- Professional appearance and positive attitude.
- Reliable, dependable, and punctual.
- Ability to multitask in a fast-paced environment.
- Basic computer proficiency.
- Cash handling experience.
- Flexible schedule, including evenings, weekends, and holidays.
Preferred
- Experience with hotel Property Management Systems (Agilysys Stay experience is a plus).
- Experience with hotel reservations and room inventory management.
- Sales and upselling experience.
- Bilingual (English/Spanish) is a plus.
Physical Requirements
- Ability to stand and walk for extended periods (4–8 hours).
- Ability to lift up to 25 pounds occasionally.
- Frequent use of computers, telephones, and office equipment.
- Ability to work in a fast-paced, guest-facing environment.
