The Orthopaedic Appointment Scheduler is responsible for scheduling patient appointments, coordinating with physicians and clinical staff, and ensuring accurate and timely patient information management. This role requires excellent communication and organizational skills.

- Promptly and courteously answers phone calls and responds to caller queries regarding appointments or general information
- Schedule patients for office visits by evaluating their needs to determine appropriate provider and location based the conversation with the patient and insurance
- Obtaining proper spelling of patient’s name, address, phone numbers, insurance carrier, reason for appointment, details how injury occurred
- Attaching the proper insurance carrier
- Advising patients if the doctor participates with their insurance or if referral/authorization is required
- Maintain and update patient information when making follow up appointments
- Calling patients to confirm appointments
- Rescheduling patient appointments
- Completes incoming request from referring providers
- Checking scheduling voicemail box and returning calls
- Knowledgeable to physicians preferences and areas of expertise
- Route calls to relevant departments or personnel
- Providing coverage for the operator as needed

- Knowledge of EMR systems
- Ensure compliance with HIPAA and healthcare privacy regulations
- Experience working in an orthopaedic practice or surgical scheduling
- Understanding of insurance verification and referrals
- Previous experience in medical scheduling, preferably in orthopaedics or a specialty clinic
- Knowledge of medical terminology (orthopaedic terminology preferred)
