Position Summary
The Accountant is responsible for managing and overseeing the day-to-day accounting and financial functions of Palm Ice Arena and supporting the financial operations of the Palm Beach North Athletic Foundation (PBNAF). This position plays a critical role in maintaining accurate financial records, ensuring appropriate internal controls, supporting budgeting and forecasting, monitoring cash flow, and providing timely financial information to management and the Foundation Board.
The Accountant will work closely with the General Manager and department leaders to monitor the financial performance of the facility's various business units, including ice rentals, hockey programs, figure skating, tournaments, leagues, public skating, pro shop operations, food and beverage, events, sponsorships, and facility rentals.
A successful candidate will combine strong technical accounting skills with a practical understanding of facility operations and nonprofit financial management. This position requires a high degree of accuracy, integrity, confidentiality, organization, and accountability.
Essential Duties and Responsibilities
Financial Management & Reporting
  • Maintain accurate and complete financial records in accordance with generally accepted accounting principles (GAAP) and applicable nonprofit accounting standards.
  • Prepare and maintain monthly, quarterly, and annual financial statements.
  • Produce profit and loss statements, balance sheets, cash flow reports, and budget variance reports.
  • Analyze financial performance and identify trends, opportunities, and risks.
  • Present financial reports and recommendations to the General Manager and Palm Beach North Athletic Foundation Board.
  • Maintain organized financial documentation and records to support transparency and accountability.
  • Reconcile all bank accounts, credit card accounts, and operating accounts.
Nonprofit Accounting & Financial Stewardship
  • Support the financial management of the Palm Beach North Athletic Foundation as a nonprofit organization.
  • Properly account for restricted and unrestricted funds, grants, donations, sponsorships, and program-related revenue.
  • Maintain appropriate documentation for restricted funding and donor-supported initiatives.
  • Assist management in tracking funds designated for specific programs, projects, or capital improvements.
  • Support preparation of nonprofit financial statements and schedules as required.
  • Assist with annual tax filings, regulatory reporting, and other nonprofit compliance requirements.
  • Work with external accountants, auditors, and tax professionals as needed.
  • Maintain financial practices that promote transparency, accountability, and responsible stewardship of Foundation and facility resources.
Budgeting & Forecasting
  • Assist the General Manager and department directors with preparation of the annual operating and capital budgets.
  • Develop departmental budgets and monitor performance against approved budgets.
  • Prepare monthly budget-to-actual reports and identify significant variances.
  • Develop financial forecasts and cash-flow projections.
  • Analyze revenue and expense trends and provide recommendations for corrective action.
  • Assist with long-term financial planning and capital expenditure planning.
  • Monitor major facility expenses, contracts, equipment purchases, and capital projects.
  • Provide financial modeling and analysis to support strategic business decisions.
Accounts Payable & Accounts Receivable
  • Process and maintain vendor invoices in a timely and accurate manner.
  • Manage customer invoicing for ice rentals, sponsorships, tournaments, leagues, and facility rentals.
  • Monitor outstanding accounts receivable and aging reports.
  • Follow up on past-due accounts in coordination with department managers.
  • Assist with collection efforts and establish appropriate payment arrangements when authorized.
  • Reconcile customer accounts and resolve billing discrepancies.
  • Ensure revenue is properly recorded in the appropriate accounting period and department.
  • Verify invoices against contracts, purchase orders, approvals, and supporting documentation.
  • Ensure appropriate expense coding and allocation to departments and programs.
  • Prepare vendor payments in accordance with established approval procedures.
  • Monitor outstanding receivables and collections.
  • Maintain positive and professional relationships with vendors and service providers.
  • Ensure all financial obligations are paid accurately and on schedule.
Payroll Administration
  • Process payroll accurately and on a timely basis.
  • Maintain accurate employee payroll records.
  • Manage payroll tax reporting and compliance.
  • Coordinate payroll deductions, employee benefits, and other payroll-related transactions.
  • Maintain appropriate records for payroll taxes and reporting.
  • Coordinate with payroll providers and outside professionals as needed.
  • Assist with compliance with applicable federal, state, and local payroll requirements.
  • Maintain confidentiality of employee compensation and personnel information.
Revenue Management
  • Monitor and reconcile daily sales activity from:
    • Ice Rentals
    • Admissions
    • Public skating
    • Hockey programs
    • Youth and Adult Leagues
    • Tournaments and Showcases
    • Figure skating programs
    • Pro shop sales
    • Food and beverage operations
    • Sponsorship and advertising revenue
    • Birthday parties and events
    • Other programs and services.
Responsibilities include:
  • Reconcile daily sales activity to point-of-sale systems, payment processors, cash deposits, and accounting records.
  • Investigate discrepancies and work with department managers to resolve issues.
  • Verify appropriate revenue coding and reporting.
  • Monitor cash-handling procedures and internal controls.
  • Assist department directors in understanding revenue performance and financial objectives.
Compliance & Internal Controls
  • Maintain strong accounting policies, procedures, and internal controls.
  • Ensure financial transactions are properly authorized and documented.
  • Assist with annual financial audits and tax preparation.
  • Prepare schedules, documentation, and supporting information requested by auditors and tax professionals.
  • Assist with insurance audits and other financial reporting requirements.
  • Monitor compliance with applicable federal, state, and local financial regulations.
  • Identify potential financial risks and recommend improvements.
  • Help establish and maintain appropriate segregation of financial responsibilities.
  • Protect organizational assets and confidential financial information.
Business Operations Support
  • Work closely with the General Manager and department directors to evaluate program profitability.
  • Analyze the financial performance of hockey, figure skating, leagues, tournaments, events, retail, food and beverage, and other facility operations.
  • Assist with pricing analysis for programs, rentals, memberships, services, and events.
  • Review vendor agreements and contracts for financial implications.
  • Assist management with financial analysis related to new programs and business opportunities.
  • Track key performance indicators (KPIs) and operational metrics.
  • Develop financial reports that help department managers make informed business decisions.
  • Provide recommendations designed to improve profitability, efficiency, and financial sustainability.
Qualifications
Education
  • Bachelor's Degree in Accounting, Finance, Business Administration, or related field required.
  • CPA designation or progress toward CPA certification preferred.
  • Nonprofit accounting education or experience is highly desirable.
Experience
  • Minimum 3–5 years of accounting or financial management experience.
  • Experience with financial reporting, budgeting, forecasting, accounts payable, accounts receivable, and reconciliations.
  • Experience working with payroll and financial reporting systems.
  • Experience in nonprofit organizations, sports facilities, recreation, hospitality, entertainment, or facility management is preferred.
  • Experience working with multiple revenue centers or departments is strongly preferred.
Knowledge, Skills, and Abilities
  • Strong understanding of Generally Accepted Accounting Principles (GAAP).
  • Proficiency with accounting software and financial management systems.
  • Advanced Microsoft Excel skills.
  • Strong analytical and problem-solving abilities.
  • Excellent written and verbal communication skills.
  • Ability to work independently while collaborating effectively with management and department directors.
  • Strong ethical standards and personal integrity.
  • Ability to maintain strict confidentiality regarding financial and personnel information.
  • Ability to develop positive working relationships with employees, vendors, Board members, auditors, and community partners.
Physical Requirements
  • Ability to sit for extended periods while working on a computer.
  • Ability to occasionally lift up to 25 pounds.
  • Ability to move throughout the ice arena and administrative areas as needed.

  • Salary**: $75,000.00 - $85,000.00/year
