The Human Resources Coordinator plays a critical administrative support role within the HR function, providing comprehensive assistance to the HR Manager across key HR disciplines. This role is heavily focused on HR operations and administration, including recruiting and hiring support, onboarding and training coordination, payroll tasks and benefits administration using ADP Workforce Now, employee recordkeeping, and HR compliance reporting. This position requires strong organizational skills, attention to detail, and the ability to handle sensitive information with the highest level of confidentiality and professionalism. This position deals with a diverse group of internal contacts at all levels of the organization and company vendors. Independent judgment is required to plan, prioritize and organize diversified workload. This position reports to the HR Manager and attendance is crucial to this position.

Responsibilities / Duties (not inclusive):

Recruiting & Hiring

  • Candidate Sourcing: Assist in Posting and Managing open job requisitions on career sites.
  • Screening: Assist in reviewing resumes and scheduling interviews with hiring managers.
  • Pre-employment: Facilitate background checks, employment verifications, and schedule preemployment screenings
  • Other: In conjunction with HR Manager, participates in recruiting operations such as job fairs, meetings, community events, local colleges, etc.

Onboarding & Training

  • New Hire Administration: Process new hire paperwork, and manage Form I-9 compliance.
  • Orientation Onboarding: Conduct new employee orientations, provide company handbooks, and arrange for building access or equipment and uniforms.
  • Training Coordination: Organize the logistics for new hire onboarding training, company-wide training and development programs. Ownership of training tracking for the entire company (creating matrix’s and tracking in Excel & ADP Workforce Now).

Timecard & Benefits Administration

  • Benefits Management: Assist with new hire benefits administration, annual open enrollment and internal communications of health, dental, and retirement plans
  • Payroll Support: Track employee hours, process timesheets, and audit payroll entries to ensure accuracy.
  • Leave Tracking: Monitor vacation, sick time, and leave of absence requests.

Employee Records & Relations

  • Record Keeping: Maintain accurate, confidential, and compliant hard-copy and digital employee files using an HRIS (ADP Workforce Now).
  • Compliance: Keep all employee records in compliance with recordkeeping and regulatory laws.
  • Ensure proper documentation for all employee lifecycle events (hire, transfer, disciplinary action, termination)
  • Audit HR records regularly for compliance and accuracy
  • Safeguard confidential employee information at all times with discretion and integrity

Employee Relations

  • HR/Company /Departmental Events Planning & Coordination
  • Rewards and Recognition Administration

Administration & Reporting

  • Support: HR Manager in the day-to-day HR activities
  • Compliance: Ensure company policies align with local, state, and federal labor laws.
  • Reporting: Compile data on HR metrics (e.g., turnover, time-to-hire) to assist with department audits and strategic planning
  • Organization: Daily HR Administrative duties such as data entry, filing and organizing of HR departmental files.
  • OSHA 300 Logs: Assist in maintenance of these logs
  • Departmental internal SOPs: Coordination and Creation
  • Maintain accurate, up-to-date employee records in HRIS and personnel files

Other

  • Serves as back up to other administrative staff.
  • Keep all company information confidential. Confidentiality is required and crucial to this position.
  • Completing duties of this position timely, accurately, with attention to detail, and with quality are crucial to the position.
  • Attendance and Flexibility are crucial to position
  • All other duties as assigned

Material & Equipment Directly Used:

Computer, phone system, Copier and other basic office machines.

Work Environment:

This job operates in a professional office environment however the company is a chemical manufacturing utilizing raw materials to manufacturer various chemicals including Acrylamide solution and Polyacrylamides. The position includes designated areas where Personal Protective Equipment (PPE) must be worn. The typical PPE includes: Hard Hats, Safety Glasses, and Steel-Toed shoes when entering areas that require this PPE. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Work is primarily indoors in an air-conditioned, smoke free office.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. This is largely a sedentary role; however will require sitting for periods of more than 4 hours daily, standing, walking, twisting, bending, kneeling, stooping, sitting, crouching, and climbing. Filing is a requirement and would require the ability to lift files, bend and open filing cabinets. The employee will frequently lift up to 25-30 pounds and occasionally lift up to 45 pounds. This person would be required to drive to accomplish some administrative duties. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus. The office is located within a multi-level building, it is required to use stairways to access these levels and there is not a personnel elevator at the site.

Position Qualifications:

A. Education

1. A high school diploma or GED is required.

2. Associate’s or higher degree relevant to role preferred.

B. Licenses, Registrations, or Certifications:

1. Valid driver’s license.

2. Clean Driving record, maintaining proof of personal vehicle insurance coverage of a minimal 50,000/50,000 coverage.

3. PHR or SHRM-CP a plus.

C. Skills/Experience:

1. 2-4 years’ of proven experience in a similar or relevant role. Must have previous experience ADP Workforce Now timecards and HRIS systems.

2. Microsoft Suite Advance Proficiency in Outlook, Excel, Word and Power Point is required (must have advanced skills in excel, i.e. pivot charts, formulas, etc.).

3. Excellent Organization and prioritization skills.

4. Strong project management and coordination abilities

5. Ability to handle confidential information with discretion and integrity is required and key in this role and a condition of employment.

6. Superb Attention to detail.

7. Experience with HRIS systems, specifically ADP Workforce Now

8. Bilingual is a plus

9. Ability to read and write English and follow verbal instructions.

10. Ability to multi-task and prioritize in a fast-paced environment

11. Excellent verbal and written communication skills are a must.

12. Excellent organizational and time management skills with high attention to detail

13. High level of professionalism, ethics, and accountability

14. Basic math and problem-solving skills.

15. Must be a good decision maker and self-motivated worker.

Work Schedule: FLEXIBILITY IS REQUIRED IN THIS ROLE. Normally Monday – Friday 8:00 a.m. – 5:00 p.m. and/or overtime when needed to complete requirements of the position and the HR Department (i.e. Annual benefit open enrollment usually Oct- December, and then Jan- Feb in preceding year). This position requires a flexible schedule outside of the 8-5. We schedule according to business needs.

Pay: $25.00 - $28.00 per hour
