The front office receptionist is often the first person patients interact with and is instrumental in demonstrating our commitment to meeting patients' needs as best we can. The front office receptionist is the first to answer phone calls, answer questions, direct calls to the right person, problem solve, collect accurate demographic and financial information, accept payments and schedule appointments. The receptionist is the most visible representative of the clinic and absolutely critical to ensuring a smooth operation. Success in this position requires excellent customer service, teamwork, communication, computer skills and a positive attitude/willingness to do what is needed for individual and team success.
JOB SUMMARY |
This position serves as the first point of contact between patients and the facility. Coordinates and guides patient visit from check-in to check-out. Performs various functions including, discharging patients, scheduling future appointments, filling out diagnostic forms on lab and imaging paperwork, utilize patient demographic information. Answers and routes phone calls and completes daily paperwork and necessary reports, and other various duties as required.
ESSENTIAL FUNCTIONS |
- Receives all incoming calls and transfers calls as necessary. Documents messages and routes to appropriate clinical staff. Ensures documentation in medical record is complete including lab and test results. Assists in facilitating requests for patient medical records.
- Schedules, re-schedules patient's office appointments, follow-up appointments, diagnostic tests, in-office procedures and may provide patient with preparation instructions for exams, tests, or procedures when required.
- Pulls and files patient charts and prepares new patient charts as needed. Prints and files transcription notes. Provides administrative support for Physicians as needed.
- Provides all customers with an excellent service experience by consistently demonstrating our core and leader behaviors each and every day.
- Performs various administrative tasks and support as assigned by the Office Manager and Physicians.
MINIMUM QUALIFICATIONS |
- Knowledge normally attained with completion of high school diploma or equivalent.
- Ability to task between heavy phone volume, multiple computer systems and frequent interruptions.
- Ability to handle ongoing face-to-face contact with patients and staff while functioning in a busy medical office environment.
- High proficiency with data entry in multiple systems.
- Proficient in Microsoft Windows, Word, and Excel.
PREFERRED QUALIFICATIONS |
- One year experience working in a medical office and/or hospital setting preferred.
- Working knowledge of medical terminology is preferred.
- Previous experience working with electronic medical record software and insurance is preferred. Bi-lingual in Spanish is preferred.
- Additional related education and/or experience preferred.
