Overview
Paletz Law seeks a highly motivated, detail-oriented, and proactive full-time Administrative Assistant to join our team. In this role, the Administrative Assistant will support our operations by maintaining accurate digital and paper records within our proprietary system to ensure such is compliant with firm standards. This position is ideal for someone who enjoys working with data, has exceptional data entry accuracy, excellent attention to detail, strong organizational skills, and the ability to manage multiple deadlines in a fast-paced environment. Training will be provided.
Responsibilities
Data Entry & Processing
· Review incoming information for completeness and accuracy.
· Enter and update data accurately into the company's proprietary system.
· Update and verify case records to ensure all required fields are properly completed
· Maintain organized digital records per firm data-handling procedures.
Data Review & Analysis
· Review data entries for accuracy and completeness.
· Identify missing or incorrect information; work with team members to resolve discrepancies
Manage multiple email accounts
Work closely with other team members to ensure case records are accurate.
Perform general clerical and administrative support for operations including responding to internal and external inquiries in a timely and professional manner.
Maintain confidentiality and accuracy of company information.
Perform additional administrative support duties as assigned.
Qualifications
· High school diploma or GED required.
· Strong computer skills, including proficiency with Microsoft Excel and Outlook.
· Outstanding attention to detail and accuracy.
· Ability to prioritize tasks, manage multiple priorities, meet deadlines, and work independently.
· Strong organizational and time management abilities.
· Excellent communication and interpersonal skills.
· Critical, strong analytical and problem-solving skills.
· Must have a great work ethic, be self-motivated, comfortable learning new skills, take direction and be a positive team player.
· Ability to work independently while collaborating with multiple internal teams.
· Legal support, or administrative experience is beneficial, but not required.
Schedule
· Full-Time, In person at the office
· Monday through Friday
· 40 hours per week
Compensation Information
The expected salary range for this position is $16 per hour, depending on experience and qualifications. This role also qualifies for comprehensive benefits such as health insurance, Simple IRA plan, paid holidays, and paid time off.
