Job Summary:
The Community Association Manager (CAM) is responsible for managing the day-to-day operations of multiple community associations within Paladin Property Management’s portfolio. This position requires a dedicated and organized professional who can handle a range of responsibilities, from financial and administrative duties to vendor relations and homeowner interactions. The CAM will ensure each community’s needs are met, foster a positive environment, and maintain compliance with all relevant laws, regulations, and association rules.
Responsibilities:
Administrative Management:
- Oversee all administrative functions of the assigned associations, including maintaining accurate records, managing association documents, and preparing agendas, minutes, and communications.
- Develop and implement community policies in alignment with HOA governing documents.
- Manage resident communications, addressing inquiries, complaints, and requests in a timely and professional manner.
Financial Oversight:
- Collaborate with the accounting team to manage association budgets, monitor expenses, and ensure prompt collection of dues and assessments.
- Prepare and present financial reports to the Board, ensuring full transparency of association finances.
- Assist the Board with annual budget preparation and reserve planning to ensure long-term financial health.
Board & Community Relations:
- Act as the primary liaison between the Board of Directors and community members, fostering a collaborative environment.
- Attend Board meetings, provide updates on community matters, and advise on best practices for effective community management.
- Support the Board with special projects, decision-making, and strategic initiatives.
Vendor and Contract Management:
- Negotiate contracts with vendors, contractors, and service providers to obtain competitive pricing and high-quality service.
- Monitor the performance of contracted services and ensure all work meets established standards and timelines.
- Conduct regular property inspections and ensure all facilities are maintained to community standards.
Compliance and Risk Management:
- Ensure community compliance with federal, state, and local laws as well as association bylaws and rules.
- Coordinate insurance policies and claims, maintain association risk management strategies, and ensure adherence to safety guidelines.
- Facilitate any necessary enforcement actions to uphold community standards and protect association interests.
Project Management:
- Oversee community improvement projects, maintenance schedules, and capital improvements.
- Maintain open communication with all stakeholders during project phases to ensure minimal disruption to residents and effective project execution.
Qualifications:
- Bachelor’s degree in Business Administration, Real Estate, or a related field preferred.
- A minimum of 3 years of experience in property or community association management.
- Certified Manager of Community Associations (CMCA) or Association Management Specialist (AMS) or Professional Community Association Manager (PCAM) designation preferred.
