General Role Description

The Accounts Payable clerk manages the accounts payables for the company. It is essential that the individual is detail oriented with good time management skills. The Accounts Payable clerk must also work well in a team environment and have strong interpersonal skills. The individual will also have a passion for continuous improvement, a strong sense of accountability and an ability to multi-task.

This position Reports to the Senior Project Accountant.

Key Responsibilities

General

  • Provide backup to the front desk for breaks, lunches and sick days.
  • Provide general support to the administrative and finance department, including filing, scanning, front desk, and general office maintenance.
  • Support the payroll department through management of time sheet collection and verification.

Accounts Payable

  • Process all accounts payable invoices through electronic AP management system.
  • Review invoices for mathematical accuracy and proper taxation
  • Contact vendors and request corrections to shipping addresses, tax charges, math errors, pre-dated invoice dates, etc. before entering or routing invoices for approval
  • Code all invoices to proper jobs and/or general ledger accounts and route for approval.
  • Enter/Import invoices into accounting system utilizing accurate descriptions and proper due dates.
  • Aid in weekly check runs.
  • Distribute subcontractor lien waivers and collect signed versions.
  • Upload executed lien waivers as supporting documentation to invoices
  • Assist in maintaining vendor database
  • Obtain vendor W-9 and other required documents before processing invoices
  • Assist any auditors in their review of accounts payable invoices
  • Manage electronic payments and ensure all are entered appropriately in the accounting system when paid. Ensure proper documentation is retained and in the system
  • Download cleared checks from the bank and upload to SAGE on a daily basis
  • Manage company cell phones & ipads

Requirements

  • Strong Interpersonal skills. Ability to listen to others without interrupting, keeps emotions under control, remains open to other ideas
  • Ability to work in a team environment.
  • Working knowledge of MS Office products
  • Attention to details. Ability to self-motivate and work independently
  • Professionalism – approaches others in a tactful manner; reacts well under pressure and is able to meet deadlines.
  • Minimum of 2 years experience in the Construction Industry

Pay: $20.00 - $28.00 per hour
