Department: Pala Housing Resource Center (PHRC)
Program: Missing and Murdered Indigenous Persons (MMIP)
Reports To: MMIP Coordinator
FLSA Status: Non-Exempt
Employment Status: Full-Time
Hourly Wage: $23.00 per hour

POSITION SUMMARY

The MMIP Support Services Assistant provides direct administrative, operational, and supportive services to the MMIP Coordinator in implementing the Missing and Murdered Indigenous Persons (MMIP) Program. This position assists with program activities, community outreach, event coordination, participant support, data entry, recordkeeping, scheduling, and other day-to-day operations necessary to ensure successful delivery of MMIP services.

This position is intended to provide direct operational and administrative support to the MMIP Coordinator and does not function as an independent case manager or program coordinator. All participant services, referrals, and program activities are performed under the direction and supervision of the MMIP Coordinator.


Essential Duties and Responsibilities

Program Support

  • Provide direct administrative and operational support to the MMIP Coordinator.
  • Assist with implementation of grant-funded activities.
  • Prepare correspondence, forms, reports, and program documents.
  • Maintain organized electronic and paper files.
  • Schedule appointments, meetings, trainings, and community events.
  • Prepare meeting packets, agendas, sign-in sheets, and maintain supply inventories.

Participant Support

  • Welcome participants and visitors to the MMIP Program.
  • Assist with participant intake and required forms under the direction of the MMIP Coordinator.
  • Schedule appointments and follow-up meetings.
  • Assist participants in accessing available resources as directed by the MMIP Coordinator.
  • Maintain confidential participant records.
  • Document participant contacts and services provided.

Community Outreach

  • Assist with MMIP awareness activities, workshops, and community events.
  • Prepare outreach materials and informational packets.
  • Represent PHRC professionally during outreach activities under the direction of the MMIP Coordinator.

Administrative Responsibilities

  • Answer phones and respond to general inquiries.
  • Enter participant and program data into databases.
  • Assist with grant documentation and monthly activity summaries.
  • Coordinate travel arrangements and meeting logistics.
  • Perform filing, scanning, copying, and other administrative duties.

General Program Assistance

  • Coordinate training registrations.
  • Prepare educational materials and handouts.
  • Support MMIP awareness campaigns.
  • Perform other duties as assigned in support of MMIP program operations.

Minimum Qualifications

  • High School Diploma or GED required.
  • One (1) year of experience in administrative support, customer service, supportive services, Tribal programs, or related field preferred.
  • Experience working with Native American communities preferred.
  • Valid California Driver's License and ability to pass a background check.
  • Strong organizational, communication, and computer skills.
  • Must acknowledge and agree to maintain a Drug-Free workplace as a condition of employment with the Pala Band of Mission Indians. Must pass pre-employment and random drug testing during employment. A DMV print out and background check will be required.
  • Must successfully pass a Fingerprint-based background check of potential employees, volunteers, and contractors pursuant to Public Law 101-630 - Indian Child Protection and Family Violence Prevention Act

  • Ability to maintain confidentiality and professionalism.
  • Effective verbal and written communication skills.
  • Ability to work independently while following direction.
  • Knowledge of Native American culture and traditions preferred.
  • Ability to build positive working relationships with Tribal departments, partner agencies, and community members.

  • All employees are expected to follow the Tribal Employee Handbook of the Pala Band of Mission Indians and must adhere to any additional applicable addendums.
