Key Responsibilities
Data Entry:
- Enter invoices, receipts, bills, and other financial information into QuickBooks Desktop.
- Ensure accuracy of coding, dates, and cost center assignments.
- Assist with updating vendor and customer information in the system.
- Organize and maintain paper and electronic financial records.
- File invoices, receipts, statements, and supporting documentation in a timely manner.
- Retrieve documents as requested by accounting staff or auditors.
- Match invoices to purchase orders and packing slips.
- Prepare payment packets for review.
- Assist with scanning, copying, and distributing accounting documents.
- Respond to routine inquiries from internal departments.
- Assist with mail sorting, handling, and document routing.
- Support the accounting team with basic tasks during month-end or audit preparation.
- High school diploma or GED required; coursework in accounting or bookkeeping preferred.
- Prior experience in data entry, office administration, or basic accounting duties is a plus.
- Familiarity with QuickBooks Desktop preferred but not required (training provided).
- Strong attention to detail and ability to maintain accurate records.
- Proficiency with Microsoft Office (Excel, Word) and basic computer skills.
- Strong organizational skills with the ability to handle multiple tasks.
- Ability to sit or stand for extended periods while performing computer-based tasks.
- Ability to lift, carry, or move files, boxes, or office supplies up to 25 pounds.
- Occasional bending, reaching, or stooping to access filing cabinets or storage areas.
