Position Overview
The Office & Technology Support Specialist provides frontline office and technology support to ensure the smooth day-to-day functioning of the firm. This role serves as a first point of contact for routine technology questions and office needs, with a strong emphasis on responsiveness, discretion, and coordination.
This position supports the Director of People & Operations, the Director of Finance, and managers reporting to them by assisting with everyday technology issues, office logistics, and administrative support. The role is intended for someone with at least one year of hands-on IT or technology support experience in a professional services, corporate, or law firm environment, who is comfortable resolving common issues independently while escalating more complex matters appropriately.
The individual in this role is expected to apply prior experience to triage issues, clearly document and relay information, and contribute to consistent, reliable support for firm personnel.
More complex or specialized matters are escalated to vendors, leadership, or external service providers as appropriate.
This role does not involve advanced IT administration, financial decision-making, HR policy development, or facilities project management.
Key Responsibilities
Office & Operations Support
- Provide day-to-day office support to the Director of People & Operations, the Director of Finance, and their direct reports.
- Serve as a point of contact for routine office needs, including conference room readiness, shared equipment, and general office functionality.
- Coordinate with vendors for office and technology-related services (e.g., equipment maintenance, supplies, basic repairs) under direction from leadership.
- Assist with onboarding and offboarding logistics, including workspace setup, equipment coordination, and access requests.
- Provide backup support for reception, accounting, and administrative coverage as assigned.
- Maintain accurate documentation related to office procedures, support requests, and recurring issues.
Technology Support (First-Level)
- Provide initial assistance to firm personnel for common technology needs, including:
- Account access questions and password resets
- Basic Microsoft 365 and Zoom support
- Printer, scanner, phone, and conference room AV assistance
- Laptop and peripheral setup for new hires
- Log, track, and relay technology issues clearly, escalating to the firm’s managed service provider (MSP) or vendors when needed.
- Coordinate technology setup for meetings, trainings, and firm events.
- Assist with tracking and organizing firm technology assets and inventory.
Administrative & Cross-Functional Support
- Provide administrative support for human resources, operations, and finance initiatives (e.g., tracking tasks, coordinating schedules, preparing materials).
- Support accounting with administrative tasks, including invoice entry, vendor management, and payment preparation.
- Assist with internal communications and logistics related to operational projects.
- Handle sensitive information with discretion, professionalism, and sound judgment.
