As the assistant to the Chairman, you will provide critical administrative support with a strong focus on utilizing modern technologies to streamline operations, improve communication, and enhance overall productivity. Your ability to integrate technological solutions into daily tasks and provide digital support will be key in ensuring the Chairman's efficiency and success. The ideal candidate will be tech-savvy, adaptable, and comfortable working with a variety of digital tools and platforms.
Pay: $50,000.00 - $75,000.00 per year
Responsibilities:
- Efficiently manage the Chairman’s calendar, leveraging digital tools for scheduling, meeting coordination, and travel arrangements. Ensure all appointments are tracked, organized, and accessible on all devices.
- Manage incoming communications, including emails, calls, and messages, using advanced email clients and messaging systems. Ensure prompt, professional, and secure responses on behalf of the Chairman.
- Use cloud-based document management systems to organize, store, and share files efficiently. Prepare and distribute documents, reports, and presentations using advanced productivity software.
- Coordinate virtual and in-person meetings, including preparing agendas, tracking action items, and ensuring seamless integration with digital communication platforms (e.g., video conferencing tools).
- Maintain strict confidentiality when handling sensitive information and documents.
- Conduct research, gather data, and assist in analyzing information to support the Chairman's decision-making processes.
- Draft and prepare professional correspondence, memos, letters, and other communication materials.
- Provide basic troubleshooting and support for digital tools and platforms used by the Chairman, including office software, communication tools, and collaborative platforms.
- Cultivate positive relationships with senior executives, board members, clients, and external partners.
- Coordinate travel arrangements, including flights, accommodations, and transportation, for the Chairman and accompanying staff.
- Assist in organizing corporate events, conferences, and other relevant activities.
- Maintain accurate records, files, and databases related to the Chairman's activities.
- Manage special projects and additional assignments as delegated by the Chairman, including personal and business-related tasks that require discretion, flexibility, and proactive execution.
Qualifications:
- Bachelor's degree in business administration, communications, or a related field (preferred).
- Proven experience as an executive assistant, personal assistant, or in a similar role supporting top-level executives.
- Advanced skills with digital communication tools (Phones, iPad, emails, messaging systems, and video conferencing platforms).
- Excellent organizational and time-management skills, with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills, including proficiency in English grammar and spelling.
- Proficient in using office productivity tools, such as MS Office (Word, Excel, PowerPoint), email clients, and calendar management software.
- Discretion and professionalism when handling confidential information.
- Strong attention to detail and accuracy in all aspects of work.
- Ability to work independently, take initiative, and anticipate needs.
- Outstanding interpersonal skills and the ability to build relationships with stakeholders at all levels.
- Flexibility and adaptability to changing priorities and deadlines.
- Knowledge of corporate governance and board meeting procedures is an advantage.
