Pacific Standard Environmental (PSE) is a Santa Ana-based firm specializing in Continuous Emissions Monitoring Systems (CEMS) for industrial clients across North America. We support clients through every phase of a CEMS program: system design, engineering, installation, certification, QA/QC, maintenance, and ongoing field consulting. Our clients keep us around because we pair deep technical expertise with direct access to senior staff and responsive, hands-on service.


About the Role

We're hiring an Operations and Office Coordinator to keep our Santa Ana office running and to support our field technicians and consultants on assignments across the country. This is a generalist seat covering finance support, recruiting and onboarding, technology coordination, day-to-day office operations, and procurement. You'll work alongside a small, close-knit team and report to our Operations lead.


This is an individual-contributor role, not a management position, but it's a high-visibility one. You'll be the person the team relies on to make sure payroll runs cleanly, travel is booked, vendors are paid, and new hires are set up to succeed from day one. The role is on-site, five days a week.


What You'll Do

Finance & Accounting Support

  • Support daily financial operations: budgeting, financial reporting, and AP/AR management in QuickBooks
  • Run payroll and ensure timely, accurate compensation
  • Reconcile expenses, post receipts, and prepare reports for management review
  • Track and report on budgets for office operations


Recruiting & Onboarding

  • Coordinate recruiting logistics: job postings, interview scheduling, and candidate communication
  • Run onboarding for new hires — first-day setup, paperwork, workstation, accounts, and orientation
  • Partner with hiring managers across departments to keep the recruiting process moving


Technology & Systems

  • Coordinate day-to-day technology operations: hardware, software, accounts, and IT vendor relationships
  • Serve as the point of contact for IT vendors and service providers
  • Maintain inventory of office equipment and technology assets


Office Operations

  • Manage scheduling, filing, data entry, and general office correspondence
  • Book travel, lodging, and rental cars for technicians and consultants on field assignments
  • Oversee facilities management, supply ordering, and vendor relations
  • Greet visitors and handle incoming calls
  • Identify opportunities to streamline workflows and reduce costs across office operations


Procurement & Vendor Management

  • Source and order CEMS-related equipment, parts, consumables, and office supplies
  • Manage vendor relationships and track pricing, lead times, and quality
  • Process purchase orders and reconcile receipts against invoices
  • Coordinate shipping and logistics for field deployments


What We're Looking For

  • Three or more years in an operations, office coordinator, or administrative role with multi-functional scope
  • Hands-on experience with QuickBooks, AP/AR, payroll processing, and basic financial reporting
  • Experience coordinating recruiting logistics and new-hire onboarding
  • Comfort acting as the in-house point person for IT and technology vendors
  • Strong Microsoft Office skills, especially Excel
  • A process-improvement mindset — you spot inefficiencies and quietly fix them
  • Excellent organization and follow-through; the kind of person who closes loops without being prompted
  • Clear, professional written and verbal communication
  • Able to work on-site in Santa Ana five days a week


Nice to Have

  • Experience in an engineering, environmental, or technical-services firm
  • Familiarity with travel coordination for distributed field teams
  • Background in procurement or vendor management
  • Experience in a small-business or owner-operator environment


Salary : $60,000 - $75,000
