Pacific Pelvic Health is a client-centered, concierge, physical therapy clinic specializing in pelvic floor health for men and women across the lifespan. We are passionate about delivering high-quality, compassionate care for individuals experiencing sensitive and often complex pelvic health issues—such as bowel and bladder dysfunction, pelvic pain, sexual dysfunction, birth preparation, postpartum recovery, and more. Our clinic is growing, and we are seeking an exceptional individual to join our team as a Front Desk Administrative Assistant / Patient Care Coordinator.
About the Role:
This position is the heartbeat of our clinic. As the first point of contact for our patients, you set the tone for the client experience. We are looking for someone who is warm, professional, empathetic, highly organized, and can communicate clearly and confidently when leads reach out about care to convert them to actual clients. Because of the sensitive nature of pelvic health, the ideal candidate is someone who is understanding, nonjudgmental, and can create a safe and welcoming space for all patients while also upholding cancellation policies and keeping the schedule efficient and organized.
Key Responsibilities:
- Greet patients warmly and maintain a compassionate and professional presence at all times
- Answer phone calls, respond to voicemails, and manage incoming emails with clarity and efficiency
- Educate potential patients about the benefits of pelvic floor physical therapy with a confident, sales-forward mindset
- Schedule and confirm patient appointments, manage waitlists, and handle rescheduling and cancellations
- Calling all leads, organizing the call log, and answering any leads questions about what we help with
- Collect payments, track supplies, and maintain an organized shceule
- Communicate effectively with the physical therapist regarding patient needs and schedules
- Creating marketing information when requested with guidance from the owner
- Understand and protect patient confidentiality at all times
What We’re Looking For:
- Strong communication skills—both in person and over the phone/email
- A naturally friendly, calm, and professional demeanor
- An understanding of (or willingness to learn about) pelvic floor physical therapy and its importance
- Ability to discuss sensitive topics (such as urinary leakage, constipation, sexual pain, etc.) with compassion and discretion
- Excellent organizational and time management skills
- Comfort with basic technology (EMR, scheduling software, excel, Google Workspace, etc.)
- A sales-oriented mindset—someone who can confidently convert inquiries into scheduled patients
- Strong writing skills for professional and clear patient communication via email
- Experience in a medical, wellness, or customer service environment is preferred but not required
