- Thursdays: PNC Leadership Meeting (7:00 AM–8:30 AM)
Compensation: $28–$32/hour, depending on experience

The Role
We’re seeking a Clinic Operations Lead who is organized, proactive, dependable, and eager to take ownership in a fast-paced healthcare environment.
This is an entry-level leadership opportunity designed for someone who wants real exposure to healthcare operations, clinic management, systems coordination, and team leadership — not just administrative work.
You’ll work closely with clinic leadership to help oversee daily operations, support staff workflows, improve efficiency, maintain compliance standards, and help ensure patients receive a seamless experience from the moment they walk through the door.
While your primary assignment will be in Walnut Creek, this role also supports operational consistency across our Vallejo, Modesto, and San Jose clinics.
This is a hands-on role for someone who wants to learn how high-performing clinics actually operate.
What You’ll Be Doing
Day-to-Day Clinic Operations
- Coordinate patient scheduling, patient flow, room readiness, and day-to-day clinic logistics
- Help identify and resolve workflow inefficiencies before they impact patient experience or staff operations
- Support operational consistency across multiple clinic locations
- Coordinate vendors, supplies, equipment needs, and facility-related operational support
- Help maintain compliance with HIPAA, OSHA, workplace safety requirements, and California healthcare operational standards
- Assist leadership with operational problem-solving and workflow management throughout the day
Team Support & Leadership
- Support front office, administrative, and clinical support staff in maintaining efficient workflows and professional communication
- Serve as a day-to-day operational resource for staff questions and problem-solving
- Assist with onboarding, training coordination, and staff development initiatives
- Reinforce accountability, professionalism, attendance expectations, and operational standards
- Support leadership with performance documentation, coaching follow-up, and workflow accountability when needed
- Help maintain a respectful, patient-centered, and compliant workplace environment aligned with California employment standards
Systems, SOPs & Workflow Optimization
- Assist in building, updating, organizing, and implementing Standard Operating Procedures (SOPs) across clinic operations
- Support consistency in workflows and documentation across all clinic locations
- Utilize EMR/EHR systems, scheduling platforms, Google Workspace, payroll systems, and operational software tools
- Assist with audits, operational reviews, and process improvement initiatives
- Help ensure proper handling and protection of patient information in accordance with HIPAA and California privacy regulations
- Support documentation accuracy, operational reporting, and administrative organization
KPI Tracking & Operational Reporting
- Help monitor clinic performance metrics, scheduling efficiency, workflow trends, and operational KPIs
- Identify recurring operational issues and escalate opportunities for improvement
- Participate in leadership meetings, accountability check-ins, and operational planning discussions
- Assist with maintaining operational reports, scorecards, and workflow tracking systems
Cross-Clinic Operational Support
- Travel between Walnut Creek, Vallejo, Modesto, and San Jose clinics as operational needs require
- Help ensure operational standards, workflows, and communication remain consistent across locations
- Assist with implementation of new systems, process updates, and operational initiatives across clinic sites
- Support leadership with cross-location coordination and operational continuity
