What are the responsibilities and job description for the Project Coordinator position at Pacific Lutheran University?
The Project Coordinator will assist with managing and coordinating a grant-funded implementation project. The aim of STAIR-Well, a PCORI-funded project, is to implement Skills Training in Affective and Interpersonal Regulation (STAIR), an evidence-based therapy for psychological trauma, in university and college counseling centers across the United States. The project is co-led by Dr. Tiffany Artime at Pacific Lutheran University and Dr. Katherine Buchholz at Wellesley Centers for Women. The position will report to Dr. Artime and will be located in the Psychology Department at PLU with the possibility of a hybrid schedule.
The project is funded through March 2027 at this time.
Essential Functions and Responsibilities:
- Provide coordination and administrative support to the principle investigators (PIs) for an externally-funded implementation project.
- Maintain open communication with PIs, seek supervision and feedback.
- Attend and coordinate regular team meetings.
- Coordinate site visits and travel arrangements.
- Regularly serve as a point of contact for implementation sites; build relationships with university counseling center clinicians and staff to support implementation work.
- Schedule meetings and keep meeting records.
- Manage project budget and subcontract budgets; coordinate with the Business office for oversight of expenses.
- Track milestones for the project and subawards.
- Coordinate reimbursements and track compensation, including gift card distribution, complete expense forms.
- Assist with report writing.
- Maintain tracking systems for sites and therapists.
- Supply ordering.
- Collect disclosures and compliance materials from sites and collaborators.
- Provide project support for clinical consultation activities.
- Assist with preparation of human research compliance forms and coordinate with IRB’s at implementation sites.
- Assist in literature reviews and manuscript writing/editing.
- Data entry and database management.
- Schedule and maintain record of advisory board meetings, fidelity and adherence role plays, and qualitative interviews.
- Conduct qualitative interviews with clinicians.
- Analyze outcome data and create graphs and tables for reporting.
- Design marketing and educational materials.
- Performs other duties as assigned.
Knowledge, Skills, and Abilities:
- Excellent communication, writing, and interpersonal skills.
- Organized, detail-oriented, and effective at time-management.
- Skills and experience in project management.
- Demonstrated experience managing budgets and tracking completion of tasks/deliverables for multiple components of a project.
- Skill in scheduling of meetings and travel.
- Ability to handle multiple tasks and work independently with little structure.
- Ability to work well with members of a team.
- Exhibit professionalism in work products and interactions with others.
- Ability to interact well with college mental health professionals.
- Knowledge of and ability to discuss issues related to psychological trauma and mental health.
- Proficiency with Microsoft Word, Excel, PowerPoint, Canva, and Google Suite.
- Familiarity with database software.
Required Qualifications:
- 2 years of job-related experience, education may substitute for some experience OR a Bachelor’s degree and some research experience.
- High school diploma or GED.
- Finalist candidates must satisfactorily complete pre-employment background checks.
Preferred Qualifications: Bachelor’s degree in Psychology or related field.
- Minimum of 1 year of experience in coordinating research projects.
- Experience in mental health research.
- Experience using SPSS or another statistical program.
- Interest in Posttraumatic Stress Disorder, psychological trauma, or college mental health.
