Pacific Historic Parks is seeking a detail-oriented and organized Purchasing Assistant to support our Purchasing & Product Development Department. This position plays an important role in ensuring our retail operations have the products they need to support our mission of preserving and sharing the history of the Pacific.
Job Responsibilities:
- Prepare and process purchase orders accurately.
- Communicate with vendors regarding pricing, shipments, and delivery schedules.
- Track open purchase orders and resolve shortages or discrepancies.
- Assist with inventory planning and replenishment. Maintain purchasing records, vendor files, and product information.
- Assist with inventory counts and reconciliation.
- Prepare reports and spreadsheets using Microsoft Excel.
- Coordinate with warehouse and retail teams regarding incoming merchandise.
- Support new product launches and special purchasing projects.
- Work closely with Accounting to resolve invoice discrepancies.
Minimum Qualifications:
- High school diploma or equivalent required.
- Three (3) years of experience in purchasing, procurement, inventory, retail operations, administrative support, or a related field.
- Strong organizational and time management skills.
- Excellent attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency in Microsoft Excel, Word, Outlook, and Google Workspace.
- Strong communication and customer service skills.
- Experience with ERP, purchasing, inventory, or POS systems is a plus.
Working and Physical Requirements:
- Office environment with frequent interaction with vendors, warehouse personnel, retail staff, and internal departments.
- Occasional travel between Pacific Historic Parks locations as needed.
- Occasional assistance with inventory counts and merchandise receiving.
- May occasionally work evenings or weekends to support special events or inventory activities.
- Ability to sit or stand for extended periods.
- Ability to use computers and standard office equipment for prolonged periods.
- Ability to lift and move merchandise and office materials weighing up to 25 pounds occasionally.

Pay: $23.00 - $25.00 per hour
