Role Description

The Dental Office Manager is a full-time, on-site position based in Richmond, CA. This role oversees the daily operations of both the front and back office, ensuring a smooth and efficient patient experience from scheduling through treatment completion.

Responsibilities include managing appointment scheduling and patient flow, coordinating treatment plans with providers, supervising front office staff, handling patient inquiries, maintaining accurate clinical and financial records, overseeing insurance verification and billing, and ensuring compliance with all applicable regulations and office policies. The Office Manager will also utilize Open Dental practice management software to manage scheduling, treatment planning, patient accounts, reporting, insurance claims, and overall office workflow.

The ideal candidate is an organized, proactive leader who is committed to operational excellence, exceptional patient care, and fostering a positive team culture.

Qualifications
  • Demonstrated experience in dental practice management, including coordinating daily office operations and workflow.
  • Proficiency with Open Dental practice management software (required).
  • Strong knowledge of dental insurance verification, claims processing, billing, collections, and treatment plan presentation.
  • Excellent customer service and interpersonal communication skills.
  • Bilingual in English and Mandarin Chinese (required) to effectively communicate with our diverse patient population.
  • Working knowledge of dental procedures and terminology to support accurate scheduling, documentation, and patient education.
  • Experience with electronic health records, scheduling systems, and other dental office software.
  • Strong leadership skills with the ability to supervise, train, and motivate administrative staff.
  • Excellent organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
  • Commitment to patient confidentiality, HIPAA compliance, and adherence to regulatory standards.
  • Prior experience in a dental or healthcare office management role is preferred.
  • High school diploma or equivalent required; additional education or certification in healthcare administration, dental office management, or a related field is a plus.
