LOCATION: Pacific Cancer Care - 15400 National Avenue, Suite 201, Los Gatos, CA 95032
SCHEDULE: Full-Time | On-Site/In Person | Monday–Friday | 8-Hour Shifts
SALARY RANGE: $40.00-$58.00/hour, commensurate with experience

OPPORTUNITY OVERVIEW:
Pacific Cancer Care is seeking an experienced and highly engaged Office Manager to support the medical oncology team at our Los Gatos location. The Office Manager is responsible for overseeing day-to-day administrative operations while actively supporting front office workflows, including patient registration, scheduling, and other critical administrative functions as needed. This position plays a key role in ensuring operational continuity, service excellence, and regulatory compliance within a growing oncology practice. Success in this role requires a hands-on, adaptable leader who can seamlessly step into front-line responsibilities while driving accountability, efficiency, and team performance.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES:
- Operational Leadership: Oversee daily office operations and workflow coordination to ensure efficient, patient-centered service delivery; provide direct coverage for front desk, scheduling, medical records, and referral intake functions as needed.
- Working Supervisor Role: Actively participate in day-to-day administrative duties while supervising staff, ensuring appropriate coverage and performance across all front office functions.
- Liaison Role: Serve as a key communication link between providers, staff, and PCC leadership, escalating issues appropriately and supporting alignment across teams.
- Compliance & Records: Maintain accurate documentation and ensure adherence to regulatory requirements, accreditation standards, and organizational policies.
- Policy & Process Development: Partner with PCC leadership to implement and refine workflows, policies, and procedures to improve efficiency and scalability.
- Medical Staff Support: Provide day-to-day operational support to providers and clinical staff to ensure smooth clinic flow.
- Staff Oversight & Development: Support interviewing, onboarding, training, and performance management of administrative staff; reinforce expectations for service excellence and accountability.
- Conflict Resolution: Address and resolve administrative team issues; escalate clinical or provider-related concerns as appropriate.
- Quality & Continuous Improvement: Identify operational gaps and implement practical solutions to enhance patient experience and staff efficiency.
- Representation: Provide updates and operational insights into leadership, representing the needs and performance of the Los Gatos medical oncology team.
- Front Office Subject Matter Expert: Serve as a resource for registration, scheduling, and patient access workflows; support onboarding and training of new team members.
QUALIFICATIONS & REQUIREMENTS:
- Associate’s degree required; Bachelor’s degree in business administration, healthcare administration, or related field preferred
- Minimum of 3 years of experience in medical office operations with demonstrated leadership or lead/working supervisor responsibilities preferred
- Relevant certifications (e.g., CAP, PMP) are a plus but not required
DESIRABLE SKILLS & EXPERIENCE
- Experience supporting specialty practices (oncology preferred) with complex workflows
- Working knowledge of healthcare operations, compliance, and patient access processes
- Demonstrated ability to lead while collaborating with staff in a high demand environment
- Strong experience in front office operations, including scheduling, registration, and patient service coordination
- Proficiency in Microsoft Office and EMR systems (OncoEMR or similar preferred)
- Excellent communication, organization, and critical thinking skills
- Ability to manage competing priorities and step into operational gaps as needed
