POSITION SUMMARY
Seeking an experienced Administrative Accounting Assistant II to support the organization’s financial and administrative operations during a period of operational transition and systems modernization.
This position will be responsible for a broad range of accounting and financial administrative functions including reconciliations, payroll administration support, accounts payable coordination, invoice processing, journal entries, accrual reporting, and credit card reconciliation.
The role will also support implementation and onboarding efforts related to new operational systems, including Pxier and Cloudbeds, while assisting leadership in identifying opportunities for improved efficiencies, reporting accuracy, and streamlined financial processes.
The ideal candidate will have strong accounting and financial operations experience, exceptional organizational skills, and demonstrated proficiency working with financial and operational systems.
PRIMARY RESPONSIBILITIES
Financial & Accounting Administration
• Process vendor onboarding documentation and assist with purchase order creation
• Review, code, reconcile, and process invoices in accordance with financial procedures
• Support meeting and event billing processes, including preparation and review of customer invoices
• Prepare journal entries and journal vouchers related to operational revenue, deposits, credit card transactions, and event activity
• Maintain monthly reconciliation and accrual reporting
• Support payroll administration and timekeeping coordination
• Reconcile procurement and travel card activity and maintain supporting documentation
• Assist with cash handling procedures, deposits, and monthly cash box audits
• Maintain organized financial records and supporting documentation
• Coordinate annual operational permit renewals and related compliance documentation
Systems & Process Improvement
• Assist with onboarding and implementation of Pxier and Cloudbeds systems
• Support the evaluation and streamlining of financial and administrative workflows
• Identify opportunities for increased automation and operational efficiencies
• Assist with development of standardized financial procedures and reporting practices
• Support efforts to improve financial controls, reconciliation accuracy, and reporting consistency Administrative Support
• Provide financial and administrative support to the MIT Endicott House General Manager and Director of Finance
• Assist with special projects, financial reporting requests, and operational initiatives
• Provide occasional front desk or operational support coverage as needed
QUALIFICATIONS
Required
• Minimum of 3 years of accounting, finance, or financial administrative experience
• Strong accounting, reconciliation, and financial operations background
• Experience working with financial systems and enterprise software platforms
• High level of accuracy and attention to detail
• Strong analytical, organizational, and problem-solving skills
• Ability to manage multiple priorities and deadlines independently
• Proficiency with Microsoft Office, particularly Excel
• Ability to maintain confidentiality and exercise sound judgment
