The Supply Chain Specialist (Inventory & Invoicing) is a hands-on role responsible for processing material receipts and vendor product and freight invoices. This position ensures accuracy, timeliness, and proper reconciliation from receipt through payment.
The Supply Chain Specialist reports to the Supervisor and supports day-to-day supply chain accounting activities, working closely with vendors and internal teams to resolve discrepancies, maintain accurate records, and support consistent workflow across teams.

The Supply Chain Specialist reports to the Supervisor and supports day-to-day supply chain accounting activities, working closely with vendors and internal teams to resolve discrepancies, maintain accurate records, and support consistent workflow across teams.
Key Responsibilities
- Review scanned material receipts in an image reader and enter receipts into Microsoft D365
- Process and reconcile product and freight invoices by matching receipts, invoices, and approved pricing
- Coordinate purchase order updates and approvals when pricing or freight costs change
- Communicate with vendors to resolve invoice discrepancies, questions, and outstanding balances
- Reconcile month-end vendor statements and maintain current accounts
- Partner with Operations, Accounts Payable, and Billing teams to resolve invoice exceptions
- Track and resolve receipt and invoice discrepancies through follow up and collaboration
- Support accurate recordkeeping across inventory and accounting systems
- High school diploma or equivalent required
- Proficiency in Microsoft Excel and Word required
- Ability to work across inventory and accounting systems
- Strong written, verbal, and phone communication skills
- Strong attention to detail, organization, and follow through
- Ability to manage deadlines and changing priorities
