Position Description: This individual provides advanced administrative and project support to staff as requested by any team, practice area or department but typically they are assigned to one or more projects and project teams, and they provide administrative support during all phases of a project but the Contract Administration (CA) Phase. They will have working knowledge of the architectural industry and can provide general instruction and explanation of the architectural process.Qualifications:Associates or Bachelor degree preferred3-5 years' experience in a professional office environmentPrevious experience with an architectural firm, related design or construction company is preferredExperience in a position requiring client interaction, and in being a leader or mentor in administrative teams is also preferred; this position is considered the mid-level of our administrative team and would provide opportunities for growth.Responsibilities: Provide support for key personnel and leaders in the firm for projects from design drawings phase through construction and final building deliveryAssigned to one or more Principals and understands and preforms the following:Maintains Outlook calendar, schedules and contacts.Types correspondence of which some could be sensitive or confidential.Fields phone calls and email and communicates with owners, consultants and contractors and can direct and prioritize calls and questions to the appropriate team members to facilitate moving the project forward.Creates drafts, edits and creates the final versions of AIA Owner Contracts and facilitates signatures and distribution in coordination with the PIC and Risk management team.Able to run contract reports and assist senior project managers and principals with contract managementManage schedules and calendars for projects and key personnel (Firm Principals)Anticipate needs of project team and leaders and executes all support tasks with efficiencySupport critical team communication and correspondenceWork within AIA contract software to provide drafts and finals of Owner-Architect Agreements and Architect-Consultant agreementsAssist in generating and distributing confidential documents and correspondence to include proposals, agendas, meeting minutes, and other critical documentsSets up zoom meetings, conference calls and in-person meetings for key personnel as neededCoordinates occasional travel arrangements for key personnelContract Administration support to include processing requests for information and logging submittalsFacilitate incoming and outgoing deliveriesCreate spreadsheets to track project fees and budgetsCoordinates copies, prints and scans of files (and large drawing print jobs to be outsourced)Assists with staff meetings, parties, gatherings, and special events as requestedOrganization and set up of conference and meeting rooms and then follow up for cleanupCoordinate and order lunches, drinks and other supplies for project team gatheringsPrepares and submits monthly credit card and expense reports and track receipts for key personnel Will provide notary public services on important office documentsProvide document control services and handle confidential documents to include electronic and hard copy filing and archiving/shreddingProject team scheduling in scheduling software (OZ will train if needed)How to Apply: Please submit your online application with an uploaded resume for your application to be complete.
