Student Safety

Act as a consistent, visible, and proactive presence across all programme locations, serving as a positive role model for students, staff, and external stakeholders.

Manage day-to-day student records, attendance, absences, and movement logs, ensuring accuracy, timeliness, and compliance at all times.

Produce, maintain, and distribute all operational documentation and risk assessments required for daily activities, excursions, and events across multiple campuses and cities.

Support the Programme Leader in the daily oversight of site safety, safeguarding implementation, and incident management.

Work closely with host venue and university teams at Yale and Columbia/Barnard on all matters relating to health, safety, and operational compliance.

Consistently follow and support the implementation of Oxford Royale safeguarding policies, processes, and reporting structures.

Oversee and monitor adherence to all national, state, institutional, and company compliance guidelines, escalating issues as appropriate.

Representing Oxford Royale

Act as an approachable, empathetic, and highly organised point of contact for students, reporting challenges responsibly and with integrity to the senior campus leadership team.

Uphold and promote Oxford Royale’s values and standards in all interactions with students, staff, parents, partners, and external suppliers.

Be responsive and professional in communications with parents and clients, supporting the Programme Leader in maintaining confidence and trust in programme delivery.

Work closely with host venue conference teams and external partners on a daily basis to communicate key information clearly and efficiently.

Assist with confirming, managing, and documenting bookings with external suppliers, academic partners, and enrichment providers.

Student Experience

Support the staff team by ensuring they have timely access to the information, equipment, spaces, and resources required to execute their roles effectively.

Take a proactive, forward-planning approach to operational delivery, anticipating challenges and minimising last-minute timetable or logistical changes.

Plan and execute smooth, professional, and welcoming arrivals, programme transitions, graduations, and departures across all locations.

Take ownership of ensuring all logistical arrangements — including room bookings, classroom allocations, visitor access, transport schedules, and activity confirmations — are accurately recorded and clearly communicated.

Support the delivery of a seamless, premium student experience that reflects the academic prestige and ambition of the Ivy League Scholars and Oxford Royale programmes.

Collaboration and Leadership

Work closely with the Programme Leader and wider campus staff, and Head Office to ensure clear communication and operational alignment.

Serve as a central operational liaison between on-site teams and Head Office, promptly updating relevant stakeholders on progress, changes, and emerging needs.

Collaborate with Head Office on room allocations for academic, social, and residential aspects of the programme across multiple sites.

Support the effective setup and close-down of campus operations, acting as a key liaison for procurement, deliveries, inventory, and logistics.

Line-manage and support direct reports where applicable, contributing to a collaborative, organised, and high-performing campus team culture.

Administration, Systems and Compliance

Oversee the implementation and day-to-day use of the student management and operational systems, ensuring accurate and consistent data entry.

Own administrative processes related to student care, records, and follow-ups.

Collaborate with Head Office on staff training records and compliance documentation, ensuring timely updates and reporting.

Monitor the timely uploading of academic reports and other required documentation, maintaining accurate and complete records throughout the programme.

Own and maintain shared documentation folders, ensuring all records are stored appropriately and that staff have access to up-to-date processes and guidance.

Support the Programme Leader in overseeing student records, incident reporting, and staff attendance tracking.

Maintain oversight of compliance logs, operational checklists, and required reports to ensure the programme consistently meets organisational and regulatory standards.

Provide excellent customer service across multiple communication channels, including email, phone, and in-person interactions.

Additional Notes:

This role involves travel and on-site operational leadership across multiple locations: one week based at Yale University, a day excursion to Massachusetts, and one week based in New York City.

Sessions are between 28th June 2026 - 12th July 2026 and paid at $22ph (depending on experience)

Candidates should be comfortable navigating — or quickly familiarising themselves with — complex university campuses and major city environments.

Prior Experience Working With Oxford Royale Is Strongly Preferred.

Experience studying or working at Ivy League institutions is highly desirable, given the academic and cultural context of the programme.
