Student Advisor - Job Description
Financial Aid Duties Include:
- Assist and support the Financial Aid department as needed.
- Forward the VA certificate of eligibility to the Owner for processing.
- Receive tuition payments (cash, check, or credit card) from students and record them in QuickBooks.
Admissions Support:
- Assist the owner with ordering new student kits.
- Complete Disability Intake forms for incoming students (or at any time during enrollment)
- Hold meeting with applicable Instructor regarding disability accommodations.
- Ensure CIMA logins are completed prior to 1st day.
Student Support:
- Ensure all School Policies and procedures are followed.
- Complete timely graduation documents prior to the celebration.
- Complete Affidavit of hours & submit to the owner on the date the student graduates.
- Schedule student counseling meetings as needed.
- Meet with students requesting a leave of absence LOA or Change of Schedule. Ensure the policy is followed and all documentation is submitted correctly and updated in Smart and reported to the owner.
- Add return dates to the Calendar and contact the student before their LOA ends.
- Update SLS once student returns from LOA with the return date and new grad date.
- Provide guidance and corrective action to students as necessary concerning attendance, payment issues, client services, conduct, or breaches of school policies.
- Refer students for professional assistance as needed.
- Classroom observations and recommendations.
- Team building exercises.
Guest Artists and Certification Class planning:
1. Schedule all Guest Artists and Certification classes
2. Ensure Classroom setup
3. Ensure Tools/products for class are available for Instructor
4. Print Certificates for participants
Graduation and Placement:
1. Ensuring students have met all graduation requirements
2. Completing all necessary paperwork (diplomas, Affidavit of hours, exit checklist)
3. Scheduling students for Graduation ceremonies
4. Assist with set up for ceremonies (ordering flowers and cupcakes)
5. Performing ceremonies twice per month
6. Placement assistance including monthly posting of new job opportunities, Resume assistance utilizing Canva and meeting with upcoming graduates to assist with placement.
7. Record keeping of Graduates as they are placed and completing data entry for later annual reporting requirements.
Compliance:
1. Ensure that Smart, Quickbooks, NSLDS, website, student handbook & student files are always current.
2. Assist with Annual report, NACCAS, State Veoci system, Ipeds, Campus crime and Safety.
Inventory:
- Ensure Inventory lists are completed timely so items can be ordered.
Building – Equipment - Supplies
- Report any problems with electric, heat, cooling, alarm and cameras to the Owner immediately.
- Report the broken equipment or furniture to the owner by email as soon as possible.
Education Scheduling
- Schedule and confirm Certification and Guest Artist classes with Brand Educator.
- Ensure Student groups are organized and scheduled for certification classes.
- Ensure all Students receive all certification classes prior to graduation.
- Meet with Sales Representatives to ensure that all education for the year is scheduled, find out new product releases, etc.
Education, Experience, and requirements:
· High School Diploma or equivalent
· Previous teaching or education experience a plus
· Minimum 2 years School Administrator or similar experience
· Competent computer skills including MS Office or equivalent, Google sheets, Quickbooks, SLS system
· Internet skills including use of e-mails, group messaging and data collection
· Criminal background check required.
Job Type: Full-time
Pay: $25.00 - $30.00 per hour
