Job Summary
We are seeking a detail-oriented and organized Program Coordinator to support our after school program and summer program team in daily administrative tasks. The ideal candidate will possess strong clerical skills, have experience in office management and able to create fun and safe environment activities for young children. This role is pivotal in ensuring smooth operations within the after school /summer program, providing excellent service to all students and parents, and maintaining an efficient work environment.
Responsibilities
- Perform general clerical duties including filing, data entry, and document preparation.
- Answer and direct phone calls with professionalism, utilizing effective phone etiquette.
- Manage office supplies inventory and place orders as necessary to ensure adequate stock levels.
- Assist with scheduling appointments and managing calendars for team members.
- Greet visitors at the front desk and provide them with necessary information or direct them to the appropriate personnel.
- Maintain confidentiality of sensitive information while handling various administrative tasks.
- Proofread documents for accuracy and clarity before distribution.
- Support medical reception duties as needed, including patient check-in and record management.
Skills
- Strong clerical skills with a focus on organization and attention to detail.
- Proficient in using phone systems and maintaining effective communication.
- Experience in office management or as school program coordinator is preferred.
- Excellent computer literacy, including familiarity with office software applications (e.g., Microsoft Office Suite).
- Knowledge in QuickBooks **plus
- Ability to proofread documents effectively to ensure high-quality standards are met.
- Strong interpersonal skills with a friendly demeanor suitable for front desk interactions.
- Ability to multitask and prioritize responsibilities in a fast-paced environment.
