We are seeking an organized, personable, and detail-oriented Client Services Associate to become an integral member of our team. This individual will serve as the first point of contact for clients while ensuring the office operates efficiently each day.

Position Overview

The Client Services Associate is responsible for providing outstanding client service, supporting the advisory team with administrative tasks, and managing the day-to-day operations of the office. The ideal candidate enjoys helping people, is highly organized, communicates professionally, and thrives in a fast-paced environment where no two days are exactly alike.

Primary Responsibilities:

Client Experience

· Welcome clients and visitors with a warm, professional demeanor.

· Answer incoming phone calls and direct inquiries appropriately.

· Schedule client appointments and assist with calendar management.

· Prepare meeting rooms and ensure clients have an exceptional experience.

· Assist with client communications and follow-up correspondence.

Administrative Support

· Provide administrative support to financial advisors and staff.

· Prepare, organize, scan, and maintain client documents.

· Assist with processing paperwork and maintaining accurate client records.

· Coordinate incoming and outgoing mail and deliveries.

· Maintain confidentiality of all client information.

Office Administration

· Oversee the daily operations of the office to ensure a clean, organized, and welcoming environment.

· Order and maintain office and kitchen supplies.

· Coordinate with vendors and service providers as needed.

· Help improve office processes and maintain an efficient workflow.

· Assist with special projects and other administrative duties as assigned.

Qualifications

· Previous experience in an administrative, office management, receptionist, or customer service role preferred.

· Experience in a professional office environment is a plus.

· Excellent interpersonal and communication skills.

· Strong organizational skills with exceptional attention to detail.

· Ability to prioritize multiple responsibilities and manage time effectively.

· Professional appearance and positive attitude.

· Proficiency with Microsoft Office, including Outlook, Word, and Excel.

· Ability to learn new technology and software systems quickly.
