Position Overview
We are seeking a highly organized and detail-driven Administrative Assistant in Sales Support to support our sales and consultation team. This role plays a critical part in preparing client financials, gathering and organizing required documentation, and ensuring each case is complete and ready for review before moving into the consultation stage.
This position will support client communication, document processing, and workflow coordination to help maintain an efficient and accurate sales pipeline.

Key Responsibilities
Administrative & Client Support
- Communicate directly with clients to collect required financial documents and information
- Provide professional and courteous customer service via phone, email, and in-person interactions
- Answer and route incoming calls, assisting with client inquiries and appointment coordination
- Maintain accurate notes, documentation, and updates within the CRM system
Sales & Financial Support
- Review tax transcripts and financial documents to verify balances, filing status, and compliance
- Prepare, organize, and format financial information for consultant review
- Identify early red flags, missing documents, or discrepancies that may impact case qualification
- Assist in qualifying cases early to reduce delays and improve overall efficiency
- Ensure all cases entering the consultation stage are complete, verified, and ready for review
Operations & Workflow Coordination
- Follow up with clients to obtain missing information or clarify financial details
- Keep the sales pipeline organized, up to date, and progressing forward
- Support improvements in conversion rates, workflow efficiency, and overall client experience
- Assist with general administrative tasks and office operations as needed
Qualifications
- Exceptional attention to detail and strong organizational skills
- Comfortable reviewing financial documents and identifying inconsistencies
- Professional communication skills, both written and verbal
- Ability to manage high-volume client interactions and maintain professionalism under pressure
- Able to follow established procedures and maintain accuracy in a fast-paced environment
- Reliable, disciplined, and proactive work ethic
- Ability to manage multiple tasks and deadlines simultaneously
- Strong teamwork skills and a client-focused mindset
- Proficiency in Microsoft Office, CRM systems, and general office tools
Preferred (but not required):
- Experience with tax forms, bookkeeping, or financial documentation
- Experience in administrative support, sales support, or office operations
- Familiarity with handling sensitive or confidential client information
