Job Summary
We are seeking a dynamic and organized Secretary/Receptionist to join our team! In this vital role, you will be the first point of contact for visitors and callers, ensuring a warm, professional, and efficient experience. Responsibilities

  • Greet visitors promptly and professionally, providing exceptional customer service and assistance
  • Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with efficiency and professionalism
  • Maintain organized filing systems, data entry records, and manage document proofreading to ensure accuracy
  • Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings
  • Perform clerical duties including typing, photocopying, scanning, and maintaining office supplies inventory
  • Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and bookkeeping software like QuickBooks for financial record keeping

Experience

  • Proven office experience or administrative support background with a focus on customer service excellence
  • Familiarity with front desk operations and multi-line phone systems in a professional setting
  • Bilingual abilities are highly desirable to assist diverse clients and team members effectively
  • Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment
  • Knowledge of office management procedures including filing systems, data entry, and calendar coordination
  • Demonstrated proficiency in computer literacy including Microsoft Office applications, Google Workspace tools, and basic bookkeeping or bookkeeping software such as QuickBooks
