What are the responsibilities and job description for the Construction Administrative Assistant position at Outside The Box?

Outside The Box, LLC is a General Contractor specializing in construction and renovation work for the federal government. We are planning for progressive growth over the next several years, and are looking for ambitious, high-caliber professionals to grow with our company.

We are currently looking to hire a Construction Administrative Assistant who can get clearance for federal projects to include; a background check and drug screening. Our ideal candidate is a self-motivated, highly responsible person with outstanding organizational and communication skills, who can grow with the company.

Position Summary:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable qualified individuals with disabilities to perform the essential functions. You must be able to perform day-to-day activities that are related to financial planning, record keeping, billing preparations, personnel, physical distribution and logistics with the OTB organization, and play a key role in the organization’s infrastructure by having an advanced skill set in the software applications Microsoft Outlook, Word, Excel, and PowerPoint, and Redteam (OTB’s Project Management Software Platform).

Assisting Office Administrator with the following tasks:
  • Preparation of bond and certificate of insurance requests.
  • Closeouts.
  • Ordering COIs, bonds, etc. as required for jobs.
  • Collecting and submitting Certified Payroll.
  • Collecting Sub-contractor Lien Releases for payment.
  • Assist in creating Pre-construction plans.
  • Ensure all jobs are completed and filed away properly on the RedTeam server and physical folders.
  • Submit progress payment applications, project invoicing and required waivers into RedTeam.
  • Setting up the job folders.
  • Establishing correct contacts, etc. for the job, both for RedTeam and the owner, and/or General Contractor
  • Respond to questions and requests for information. 
  • Assist with solicitations as needed.
  • Potential Additional Duties (as time allows)

Qualifications:
  • Experience in construction administration is preferred but not required for this position.
  • Ability to work well with others in a team environment.
  • High school education or GED equivalent required.
  • Computer literate and able to learn new software programs.
  • Excellent communication skills within organization and with customers.
  • Highly organized multitasker who works well in a fast-paced environment.
  • Must have reliable transportation to and from workplace.
  • Must have a covid-19 vaccination or a notarized medical/religious exemption.

Salary : $32,700 - $41,400
