This position supports the Women’s Imaging Department, with a primary focus on Mammography and Ultrasound coordination, patient follow-up, scheduling support, medical record management, and workflow efficiency. This role is designed to assist technologists, radiologists, schedulers, and leadership by ensuring timely coordination of patient care, accurate documentation, and strong communication between patients, referring offices, and internal teams.

Depending on experience, skill set, and operational needs, this role may also provide growth opportunities within Women’s Imaging operations, scheduling coordination, quality support, and clinical workflow management.
Position Overview:
The Women’s Imaging Patient Coordinator / Breast Service Specialist plays a critical role in supporting the daily operations of the Women’s Imaging Department. This position works closely with mammography technologists, ultrasound technologists, radiologists, schedulers, provider offices, and leadership to ensure patients receive timely, accurate, and compassionate care.
This position supports the coordination of breast imaging services, including screening and diagnostic mammography, breast ultrasound, biopsy follow-up, BI-RADS follow-up workflows, prior imaging requests, order management, and patient scheduling. The role also assists with reducing administrative burden on technologists so they can remain focused on patient care, image quality, and clinical throughput.
This position may support one or multiple imaging centers and may function onsite, hybrid, or remotely based on operational needs.
Reporting Structure:
The Women’s Imaging Patient Coordinator / Breast Service Specialist reports directly to the Clinical Manager, Director, Administrator, or assigned leadership designee, following the established chain of command.
Essential Duties and Responsibilities:
Patient Coordination and Customer Service
- Welcome and assist patients in a professional, compassionate, and patient-focused manner.
- Provide clear communication to patients regarding appointment needs, required orders, prior imaging, follow-up exams, and scheduling next steps.
- Assist patients with coordination of mammography and ultrasound appointments, including diagnostic follow-ups, biopsy-related appointments, and additional imaging needs.
- Contact patients to schedule follow-up imaging, fill last-minute cancellations, manage waitlists, and assist with patients not yet scheduled.
- Maintain a calm, supportive, and professional demeanor when working with patients who may be anxious regarding diagnostic results, callbacks, biopsies, or follow-up recommendations.
- Protect patient privacy and maintain confidentiality in accordance with HIPAA and company policy.

- Strong organizational skills and follow-through.
- Willingness to learn breast imaging workflows, BI-RADS follow-up processes, biopsy coordination, and Women’s Imaging operational standards.
- Ability to work independently while maintaining consistent communication with the team.
Requirements
Minimum Qualifications:
- High school diploma or equivalent required.
- Prior healthcare, imaging center, medical office, scheduling, registration, or patient coordination experience preferred.
- Prior mammography, breast imaging, ultrasound, radiology, or women’s health experience preferred but not required.
- Knowledge of medical terminology preferred.
- Experience with RIS, EMR, scheduling software, faxing systems, and medical records workflows preferred.
- Strong computer skills required.
- Must demonstrate professionalism, confidentiality, dependability, and excellent customer service.

This role is expected to evolve over time as Women’s Imaging workflows are optimized and departmental needs change. The Breast Service Specialist is encouraged to grow in responsibility and skill set in alignment with operational goals.
