Business Support Coordinator (Part-Time)

We are seeking a highly organized, detail-oriented, and adaptable Business Support Coordinator to join our small but mighty team. This position plays a vital role in supporting the daily operations that allow ORA Trails to fulfill its mission and continue growing its impact.
Position Summary
The Business Support Coordinator provides administrative, financial, and operational support across the organization, helping ensure the smooth and efficient day-to-day functioning of ORA Trails. This role works across multiple areas of the organization, supporting staff, volunteers, programs, fundraising efforts, events, and organizational operations.
Reporting directly to the Operations Director, the Business Support Coordinator serves as a key support position responsible for maintaining organizational systems, assisting with financial processes, supporting volunteer engagement, and helping deliver high-quality programs and events.
ORA Trails offers a flexible work schedule, with most work performed Monday through Friday during regular business hours. Occasional evening and weekend availability is required to support events, programs, volunteer activities, meetings, and other organizational needs.
Key Responsibilities:
Administrative Support
- Prepare board and committee meeting materials.
- Maintain organizational records, files, and documentation.
- Manage calendars, shared documents, and internal systems.
- Provide general administrative support to staff and organizational operations.
Fundraising & Communications Support
- Process donor acknowledgements and stewardship communications.
- Support CRM data entry, maintenance, and reporting.
- Assist with grant preparation and supporting documentation.
- Provide administrative support for fundraising campaigns and events.
Marketing & Content Support
- Assist with newsletters, website updates, and social media content.
- Support the creation and distribution of marketing materials.
- Help maintain consistent organizational branding and messaging.
Program & Event Support
- Provide logistical and administrative support for programs and events.
- Assist with participant communications and registration management.
- Create and manage event, program, and volunteer registrations within Neon CRM.
- Support event planning, preparation, and follow-up activities.
Volunteer Coordination Support
- Assist with volunteer onboarding, scheduling, and tracking.
- Maintain volunteer records and communication lists.
- Support volunteer engagement and recognition efforts.
Financial Operations
- Support bookkeeping, reconciliations, and financial reporting.
- Manage deposits and financial documentation.
- Assist with accounts payable and other financial administrative functions as assigned.
Qualifications
Required Skills & Experience
- Two or more years of administrative, operations, bookkeeping, customer service, or nonprofit support experience.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office and/or Google Workspace.
- Ability to work independently while collaborating effectively as part of a team.
- Must reside within reasonable proximity to La Crosse, Wisconsin to fulfill onsite office responsibilities.
Preferred Qualifications
- Associate's or Bachelor's degree.
- Experience working in a nonprofit organization.
- Experience with CRM systems such as Neon CRM.
- Experience with bookkeeping, donor databases, event management, or volunteer coordination.

Working Conditions
Work is performed primarily in an office environment with occasional fieldwork at program, event, and project locations. The position requires prolonged periods of computer use, visual concentration, and the ability to manage multiple priorities and deadlines.
Periodic stressful situations may arise due to competing priorities and time-sensitive responsibilities. Regular travel between local project and program sites may be required. The employee must be able to lift and move up to 30 pounds of supplies and equipment and participate in occasional walking and hiking on uneven terrain.
The Business Support Coordinator serves as a representative of ORA Trails and is expected to interact professionally with volunteers, donors, participants, partners, and community members.
