Onboarding Specialist Oregon City

Out of the Box Solutions, LLC
Oregon, OR Full Time
POSTED ON 6/21/2026
AVAILABLE BEFORE 7/20/2026
We're Hiring: Onboarding Specialist

We're looking for someone exceptional.

We're looking for someone who thrives on solving problems, creating order out of complexity, and delivering an exceptional experience for the people they serve.

At Out of the Box Solutions, we support individuals with developmental disabilities and their families throughout Oregon. The onboarding experience is often a family's first impression of our agency—and one of the most important experiences we provide.

This role requires someone who can think critically, manage multiple moving pieces, build meaningful relationships, and consistently follow through. The right person is equally comfortable navigating compliance requirements, supporting families, and ensuring nothing falls through the cracks.

We're looking for someone who combines high emotional intelligence with exceptional execution—someone who is organized, proactive, detail-oriented, and motivated by excellence. If you take ownership of your work, enjoy being challenged, and take pride in delivering results while making a meaningful difference in people's lives, we'd love to meet you.

What You'll Do

As our Onboarding Specialist, you'll serve as the central point of coordination for new families and Direct Support Professionals (DSPs), ensuring every onboarding experience is welcoming, professional, compliant, and efficient.

Responsibilities include:

  • Leading the onboarding process for families and Direct Support Professionals from start to finish
  • Coordinating interviews, intake appointments, documentation, and onboarding timelines
  • Communication daily with families, Direct Support Professionals, referral sources, and internal team members
  • Creating care plans and assisting with risk mitigation planning
  • Ensuring all state- required documentation is complete, accurate, and submitted timely
  • Monitoring compliance requirements and helping maintain agency standards
  • Tracking onboarding progress, metrics, and weekly reporting
  • Identifying roadblocks, finding solutions, and ensure tasks are followed through completion
  • Creating a positive, supportive, experience while maintaining accountability and efficiency

Who We're Looking For

The ideal candidate is:

  • Highly organized and exceptionally detail-oriented
  • A strong communicator who genuinely enjoys working with people
  • Proficiency with technology and the ability to learn and navigate multiple software programs simultaneously
  • Able to manage multiple priorities in a fast-moving environment
  • Comfortable balancing compassion with accountability
  • A critical thinker who enjoys solving problems
  • Self-motivated and able to take ownership of their work
  • Adaptable and able to pivot when priorities shift
  • Committed to quality, compliance, and continuous improvement
  • Someone who sees the big picture without losing sight of the details

Minimum Qualifications

  • Bachelor's degree required (Human Services, Social Work, Psychology, Business Administration, Healthcare Administration, Communications, or related field preferred)
  • Minimum of 2 years of professional experience in onboarding, human resources, healthcare administration, case management, client services, project coordination, compliance, or a related field
  • Demonstrated ability to manage multiple priorities, deadlines, and competing demands in a fast-paced environment
  • Strong written and verbal communication skills with the ability to communicate professionally with families, caregivers, community partners, and internal teams
  • Proven experience working with confidential information and maintaining a high level of accuracy and attention to detail
  • Exceptional technology proficiency with the ability to quickly learn new software, manage multiple systems simultaneously, and adapt to changing processes with minimal training while maintaining accuracy and attention to detail
  • Ability to independently problem-solve, exercise sound judgment, and follow tasks through to completion
  • Valid driver's license, reliable transportation and ability to pass all required state and agency background checks

Preferred Qualifications

  • Experience working with individuals with developmental disabilities or within the human services field
  • Experience with Medicaid-funded services, compliance, documentation, or state-regulated programs
  • Experience creating care plans, service plans, risk mitigation plans, or other client-centered documentation
  • Experience with onboarding, recruiting, employee relations, or personnel coordination
  • Experience working in a rapidly growing organization or high-volume environment

What Matters to Us

We value trust, integrity, accountability, and teamwork.

We're not looking for someone who simply checks boxes. We're looking for someone who understands that behind every intake, document, and onboarding task is a family looking for support and a Direct Support Professional preparing to make a difference.

The right person will bring both heart and urgency to their work. They will care deeply about people while maintaining the high standards necessary to ensure compliance, quality, and exceptional service.
