You’ll support the production team on live events across the global- from helping call the show at an annual conference to assembling 1,000 lanyards at 2AM with music blasting and laughter keeping you awake. It’s all part of it, and it’s all worth it.

A SNAPSHOT OF YOUR RESPONSIBILITIES:

  • Project Support: Partner with Event Producers to track timelines, deliverables, and budgets that bring large-scale creative visions to life. The details, the nitty gritty, the things that may get missed or they may not want to do but we know are important.
  • Vendor Management: Research, source, and liaise with vendors, suppliers, and venues; track contracts, invoices, and production orders. Find vendors in the middle of nowhere, discover how they communicate and how to get the best out of them and make it happen!
  • Logistics Coordination: Support with shipping, on-site load-in/load-out, staff scheduling, and travel arrangements.
  • Documentation: Including run-of-show, production schedules, and equipment lists—while owning the creation, organization, and distribution of meeting agendas and minutes (internal and client-facing) to ensure clear communication, alignment, and follow-through.
  • Project Management Tools and Systems: Ensures all project tasks, timelines, and milestones are accurately tracked, updated, and aligned across teams to maintain visibility and accountability throughout each event lifecycle.
  • On-Site Support: Provide on-site support during the conference, managing staff, troubleshooting issues, and ensuring a positive experience for attendees.
  • Team Collaboration: Work closely with creative and operations teams to ensure flawless event execution.
  • Budget Tracking: Assist in expense reconciliation, invoice processing, and tracking project costs against budget.
