Minimum Qualifications:
UTMB Student at least half-time, any school/education program
Preferred Skill/Competency:
- Advanced computer skills with experience in MS Office (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, SharePoint, Zoom, and ability to learn new computer skills/software quickly.
- Strong A/V experience.
- Strong attention to detail, organizational skills, and ability to juggle multiple priorities.
Preferred Work Experience:
Familiarity with special needs and characteristics of aging individuals.
Job Description:
To provide clerical, secretarial, and office administrative support to a process or area, ensuring operational administrative process continuity.
Job Duties:
General OLLI Support:
- Represents the OLLI program with integrity, professionalism, and commitment to serving members and others.
- Respond and assist with calls, emails, or in-person inquiries related to the OLLI program (class registration/information, directions, and other related membership or program inquiries).
- Assist and coordinate set-up for classrooms, OLLI activities, and events, including rearranging classroom tables and chairs (must be physically able to move lightweight tables and folding chairs); may sometimes entail working evenings or weekends.
- Support classes/programs with technology interface (i.e. Zoom, MS Teams, including coordination of calendars, links, training, etc.).
- Assist in creating program announcements, eBlast, and newsletters, support distribution and publishing through internal boards, OLLI website and social media.
- Assist in creating and maintaining course evaluations.
- Assist with maintaining and collecting OLLI release forms and other required documentation.
- Represent OLLI at functions, seminars, or other public events; prepare materials and handouts as needed.
- Positive customer service attitude.
- Collaborate with team members, reliable team player, and follow processes while also looking for ways to improve efficiency.
- Performs other related duties as assigned
Work Schedule
This is up to a 19-hour work hours per week position, non-benefits-bearing.
