- OrthoIndy Hospital Northwest, located in Indianapolis, Indiana, provides outpatient care and inpatient care, with 10 operating rooms, 2 procedure rooms and a 42-bed inpatient unit for patients undergoing more invasive procedures, such as disc replacement, spinal fusion or total hip and knee joint replacement. Other services include an urgent care, clinics, pre-op clinic, imaging and physical therapy.
General Statement of Duties:
The Instrument Coordinator, in addition to Sterile Processing Technician II duties and qualifications, is responsible for managing and maintaining surgical instrumentation and related inventory to support safe and efficient patient care. The Instrument Coordinator acts as the primary liaison between the Sterile Processing Department (SPD), Operating Room staff, vendors, and clinical leadership to ensure all surgical trays and instrument sets are accurate, complete, and available when needed. The Instrument Coordinator also plays a key role in instrument standardization, education, and process improvement initiatives, and can support Core Coordinator responsibilities to maintain effective coordination between SPD and the OR.
Essential Duties:
- Instrument Inventory Oversight: Coordinates instrument tracking and inventory systems to ensure accuracy, accountability, and proper organization of all sets, peel packs, and extra instrumentation. Monitor and optimize instrument usage, tray composition, and standardization to support efficiency and cost savings.
- Maintenance and Repair Coordination: Oversee inspection, repair, replacement, and preventive maintenance of surgical instruments. Ensure new or repaired instruments are distributed correctly and placed into corresponding sets.
- Loaner Instrumentation Management: Coordinate the processing, documentation, and return of loaner instruments in compliance with facility policies. Work with vendors and supply chain to ensure timely ordering, delivery, and availability of necessary items.
- Documentation and Tracking: Develop and maintain tray count sheets, photo documentation, and instructions for use (IFUs) within tracking systems. Audit tray accuracy, track missing items, monitor instrument condition, and collaborate with leadership to resolve recurring issues.
- Collaboration with OR and Surgeons: Partner with OR staff and surgeons to maintain instrument sets according to preference and evolving surgical needs. Communicate changes in instrumentation or tray composition to SPD and OR staff and ensure updates are reflected on preference cards.
- Training and Resource Support: Serve as a subject matter expert and resource for SPD and OR staff by providing training, guidance, and troubleshooting on instrumentation and documentation practices. Actively support orientation and onboarding of new staff with an emphasis on instrument management.
- Operational Support: Assist SPD workflow as needed, including decontamination, assembly, sterilization, and case cart preparation. Provide coverage for Core Coordinator responsibilities during absences or high-demand periods to maintain effective OR–SPD coordination.
- Capital and Resource Planning: Participate in equipment review and provide input for procurement, replacement, and process improvement initiatives. Contribute feedback to leadership regarding instrument management, workflow adjustments, and staff training needs.
- Quality and Compliance: Support departmental quality improvement initiatives and adherence to accreditation and regulatory standards.
- Technical Competency and Professional Growth: Maintain full competency in all Sterile Processing Technician II duties, stepping into these responsibilities as needed. Stay current with industry standards through in-services and continuing education while performing other duties as assigned to support overall department operations.
Requirements:
- High school diploma or general education degree (GED) required
- 2-4 years of related experience required; 4-6 years of related experienced preferred
- 1-2 years of experience within OrthoIndy’s Sterile Processing Department preferred
- CRCST certification required
- Certified Instrument Specialist (CIS) certification must be obtained within one year of start date
- BLS/CPR certification required
