Orthopaedic and Sports Physical Therapy is hiring a full-time Front Desk Receptionist for our busy, high-volume clinic in central Santa Rosa. This role is ideal for someone who thrives in a fast-paced environment, is highly organized, and can manage scheduling for multiple physical therapists while providing a professional and welcoming patient experience.
Key Responsibilities:
- Greet patients and manage check-in/check-out with a friendly, professional attitude
- Answer incoming calls and return voicemails promptly
- Conduct patient intake by verifying patient name, date of birth, referring physician, insurance information, and appointment details to ensure accuracy and compliance.
- Schedule, confirm, and coordinate patient appointments across multiple physical therapists
- Manage and balance multiple provider schedules efficiently
- Collect, post, and reconcile patient payments accurately
- Maintain, update, and organize patient charts in the EMR system
- Scan and manage medical records and documentation
- Communicate with physicians’ offices to obtain referrals and imaging reports
- Ensure compliance with HIPAA regulations and maintain strict patient confidentiality
- Keep the reception area clean, organized, and welcoming
- Follow clinic supply, documentation, and workflow protocols
- Assist with other administrative duties as assigned
Qualifications:
- Minimum of 1–3 years of experience in a medical office or customer-facing administrative environment required, including at least 1 year of recent, relevant experience in a healthcare setting.
- Ability to work both independently and collaboratively as part of a team.
- Strong multitasking and organizational skills in a fast-paced environment.
- Experience managing multiple provider schedules strongly preferred.
- Knowledge of HIPAA regulations and patient confidentiality standards.
- Excellent verbal, written, and phone communication skills.
- Skill in fax and copy machine
- Strong attention to detail with consistent follow-through.
- Proficient in computer use, including data entry, Microsoft Word, Outlook, and EMR systems.
- Reliable, punctual, and highly accountable.
Physical Requirements:
- Ability to sit and stand for extended periods while performing general office duties.
- Occasional lifting (up to 30 lbs), bending, and reaching required.
- Must be able to perform essential job functions with or without reasonable accommodation.
Schedule:
Monday–Friday, 8:30 AM – 5:30 PM
