The Referral Coordinator is responsible for managing incoming and outgoing patient referrals to ensure timely scheduling and continuity of care. This role works closely with providers, clinic staff, insurance companies, and referring offices to coordinate patient appointments, verify referral requirements, and obtain necessary authorizations. The Referral Coordinator helps maintain efficient clinic operations while providing excellent customer service to patients and external partners.

Essential Duties and Responsibilities

• Receive, review, and process incoming patient referrals from providers, hospitals, and external clinics.

• Verify referral documentation for completeness, including diagnosis codes, provider information, and insurance requirements.

• Coordinate scheduling of patient appointments with appropriate providers based on referral details.

• Obtain prior authorizations and verify insurance eligibility when required.

• Communicate with referring providers’ offices to obtain missing documentation or clarification.

• Contact patients to schedule appointments and provide necessary appointment instructions.

• Monitor referral work queues to ensure referrals are processed within established timelines.

• Document referral activity and communication in the electronic health record system.

• Track referral status and follow up on pending referrals or authorizations.

• Maintain accurate records of referrals and ensure compliance with organizational policies and healthcare regulations.

• Collaborate with scheduling staff, clinical teams, and billing departments to ensure smooth coordination of care.

• Provide professional and courteous communication to patients, providers, and staff.

Knowledge, Skills, and Abilities

• Knowledge of medical terminology and healthcare referral processes.

• Understanding of insurance verification and prior authorization procedures.

• Strong organizational skills and ability to manage multiple referrals simultaneously.

• Excellent communication and customer service skills.

• Ability to work independently and as part of a team in a fast-paced healthcare environment.

Minimum Qualifications

• High school diploma or equivalent required.

• Minimum of one year of experience in a medical office, scheduling, or referral coordination preferred.

• Experience working with insurance verification or prior authorizations preferred.
