Job Purpose:

The Surgery Scheduler, ASC is responsible for adding cases to the surgery schedule, confirming the completion of verification of benefits, and determining patient insurance eligibility. The scheduler ensures all necessary equipment, staffing, and ancillary needs are fulfilled with the ASC leadership team. The scheduler is cross-trained to help in other functions within the business office. 

 

Primary Duties and Responsibilities:

• Schedules ASC surgical cases based on patient needs and established protocols

• Enters surgeon block times into EMR. Monitors and maintains block times.

• Verification that CPT-codes and planned procedure are accurate within all EMR platforms while working with clinical teams to update as needed

• Verification of preference card confirming accurate information, working with the materials manager to get proper instrumentation for the case

• Communicates to the Pre-op/PACU charge nurse, OR charge nurse, Anesthesia, and patient benefits manager for same-day and next day cases, scheduling conflicts, and any patient problems

• Coordination of cases with Pre-op PACU and OR Charge nurse to prevent staffing and equipment conflicts

• Enters and ensures demographic information is correct across multiple EMR systems.

• Notates insurance information and verifies the information matches patients’ insurance cards

• Takes calls from office staff, physicians, and anesthesiologists and assist with questions or requests

• Monitors surgery schedule to ensure proper case order, considering position, comorbidities, transportation, and time requests

• Daily communication with the anesthesiologists for schedule updates, times, changes, and any other requests that have been directed to anesthesia from clinic, patients, or providers

• Run monthly reports and complete numbers for state reporting and provide quarterly reports of OR availability for clinical managers

• Receive calls from outside patients, family members, reps, and vendors

• Confirms with all offices for the next day’s cases and confirms all patients/times

• Publishes and distributes a daily surgery schedule and surgical log for all departments concerned

• Cross-Trained in all functions of the ASC Patient Coordinator/Receptionist role to cover as needed

Education and Experience Requirements:

• High School Diploma or GED.

• Excellent Communication Skills.

• Competency in oral and written skills.

• Comprehension of Medical Terminology.

• Minimum of one-year scheduling experience in an ambulatory surgery center, acute-care hospital, or doctor’s office.

• Basic working knowledge of Microsoft 365

• Expert HST knowledge

 

Environmental/Working Conditions: 

Working environment is in an office/clinic setting. 

 

Physical/Mental Demands:  

• Sit, stand, walk, and remain stationary for long periods of time

• Requires lifting, carrying and/or moving objects in a manner consistent with most office environments (generally, no more than 10 pounds on a frequent basis and 20 pounds on an occasional basis)

• Finger dexterity, the ability to twist hands/wrists repetitively and type on a keyboard with  

• Vision (e.g., depth perception, color vision, strong vision up close), Hearing (e.g., high pitch sounds, soft or distant sounds)
