Position Summary
We are seeking a detail-oriented and reliable Finance Coordinator to support clinical research finance operations. This individual will work directly with the Finance Manager on a variety of projects related to invoicing, budget management, and financial documentation. The ideal candidate is organized, proactive, and able to work both independently and collaboratively with study teams.
This is a full-time, non-exempt (hourly) position, working 40 hours per week, Monday through Friday, with a hybrid schedule based at our Torrance, CA office. The role requires on-site presence once a week and as needed for team meetings or operational support.
Key Responsibilities
- Prepare and submit sponsor invoices based on completed visit activities and contracted terms
- Apply payments and maintain accurate financial records
- Build and update study budgets using CTMS (Clinical Trial Management System or CRIO) platforms
- Work closely with Clinical Research Coordinators (CRCs) to collect and validate conditional cost documentation (e.g., dry ice receipts, shipping invoices)
- Track and reconcile invoiceables, subject stipends, and pass-through costs
- Support the Finance Manager with ad hoc financial projects as assigned
- Ensure documentation complies with sponsor and site SOPs
- Assist with internal trackers and reporting tools
- Communicate effectively with research and finance teams to ensure timely resolution of financial discrepancies
- Demonstrate initiative and accountability in managing assigned tasks and meeting deadlines
- Additional duties as assigned
Skills & Qualifications
- Education: Associate or bachelor's degree in accounting, Finance, Business Administration, or related field required/preferred
- Experience: 1 year of professional experience in accounting, finance, or budget coordination (healthcare or research setting preferred)
- Skills & Abilities:
- Familiarity with CTMS, Clinical Trial Management System platforms (e.g., CRIO) is a plus
- Proficient in Microsoft Suite applications Excel, Word, Teams, Outlook and comfortable navigating database
- Strong attention to detail and accuracy in financial documentation
- Excellent communication, interpersonal, and teamwork skills
- Ability to work under deadlines and adapt to shifting priorities
- Problem-solving mindset with the ability to identify process improvements
- Proficient in Microsoft platforms i.e. Excel, PP, and Word
- Strong organization and communication skills
- Ability to be a team player, etc.
Compensation
The hourly range for this position is $22.00-$29.00/hour. The actual compensation for this role will be determined by a variety of factors, including but not limited to the candidate’s skills, education, and experience.
Physical Requirements
Ability to stand, walk, and move throughout the clinic, if applicable, for extended periods; occasionally lift objects up to 25 lbs., bend, stoop, or reach as needed. Frequent use of hands and fingers for patient care and equipment operation. Must have normal (or corrected) vision and hearing and be able to respond quickly in a fast-paced clinical environment, if applicable.
