Description: District Office Secretary - Human Resources Assistant (ESP Level IV)
Job Summary:
- Manages employee profiles in the Human Resources Information System, as well as timecard and substitute management systems, maintaining accurate employee data including personal information, job classifications, salary and schedule changes, and terminations.
- Maintains confidential personnel files, update employee information systems, process new hire paperwork, and ensure compliance with record retention policies.
- Assists with planning and supporting employee events, training sessions, orientation programs, and district meetings, including provisions and room set-up.
- Manages background check invitations and reports for volunteers and prospective employees.
- Manages numerous steps of position posting, recruiting, and selection processes.
- Manages teacher relicensing records through appropriate data management program and with direct email communications.
- Updates District voice mail as needed, routes messages and return calls.
- Sets up electronic building access and create and manage employee ID badges.
- Assists with parents, visitors, and vendors.
- Supports the student enrollment process by sending address verification forms and bus registration forms to callers via enrollment email.
- Handles mail distribution, office supply inventory, postage, copiers, and other duties as assigned to support district operations.
- Manages new employee physical screeners for appropriate employee groups.
- Manage job offer letters for all posted positions and coordinates orientations and onboarding forms.
- Coordinates District-wide events (venue reservation, programs, years-of-service recognition, menus, etc.).
- Assist Human Resources department with a variety of additional tasks as needed.
Qualifications:
- 1-3 years of experience working in any combination of the following:
- Professional office setting.
- Public agency or school.
- Human resources department.
- Evidence of the ability to work in a supportive relationship with a variety of stakeholders (e.g. members of the public, members of the Board of Education, District administrators, other office staff, and district employees) required.
- Evidence of working knowledge and experience using Google office applications; Microsoft Word, Outlook, and Excel; and a wide variety of task-specific programs preferred.
- Must demonstrate ethical behavior and confidentiality of information about students and employees in the office environment and community.
- Must maintain a safe working environment and encourages colleagues to be safety-minded in the performance of all school-related duties.
- Must advance the District's mission and goals through careful attention to the key issues of Scholarship, Character, and Relationships.
- Ability to work collaboratively with a team of support personnel required.
- Ability to self-manage time and workload required.

Building/Site: Orono Schools District Office
Schedule: 8 hours/day 260 Days.
COMPENSATION
Hourly Wage: $23.00-$26.37
