We are seeking a Marketing Events Coordinator responsible for activating the strategy and managing the execution for a variety of assigned live events of varying scale. This position is also responsible for coordinating FIM (Farmers in Marketing) programs to meet the needs of Organic Valley’s greater Marketing, Sales, and Government Relations goals, and enhancing these activities through authentic farmer participation. This position will coordinate planning, communication, and documentation regarding all aspects of Marketing Events programs.
Essential Duties and Responsibilities
o Activate a presence and strategic plan to advance the brand and cooperative through our exhibition at trade shows and consumer activations.
o Create, plan, and execute various types of internal and external events and requests from concept through execution and follow up; this includes, but not limited to:
o Collaboration with appropriate contacts for on-time delivery of individual event objectives.
o Implement the assigned experience.
o Coordinate the show and travel logistics, as needed.
o Secure promotional items and giveaways.
o Order show site services.
o Work with internal departments and external vendors to requisition product, property, collateral design, hospitality, travel, staffing, catering and more.
o Keep projects up to date by establishing, coordinating, and communicating project priorities, timelines, and task lists.
o Provide event orientation for staff and attendees on assigned projects.
o Create post-event snapshots and recaps that capture event metrics and show completion of event objectives.
o Collaborate with events team and Marketing Events Manager to develop targeted communications for overall program, individual campaigns and by project as needed.
o Act as the Person In Charge (PIC) for assigned events
o Ensure compliance with food safety regulations for assigned events.
o Partner with Marketing Events Manager to identify and place appropriate farmers at events.
o Coordinate and lead pre-and post-event meetings with internal customers and farmer ambassadors in order to gather feedback and to develop event overviews and presentations.
o Collaborate on and coordinate process development and other improvements for department programs, as assigned.
o Stay within budget parameters outlined, maintain and process expenses for each event.
o Manage event metrics as needed to lead post-event evaluations and ROI assessments.
o Responsibly represent CROPP Cooperative, Organic Valley, and subsidiaries while on assignment.
o Actively seek opportunities to collaborate with the communications team to maximize programs, assets, and events.
o Serve as an engaged member of the integrated marketing team, ensuring integration of events and FIM into campaigns.
Additional Duties and Responsibilities
o Coordinate special assignments supporting marketing department or CROPP objectives (new product rollouts, Annual Meeting, etc.).
o Compile, transcribe and distribute meeting minutes regularly.
o Other projects and duties as assigned by Manager.
Knowledge, Skills, and Abilities
o Bachelor’s degree preferred or relevant work experience required.
o Minimum of 2 years of working in a professional setting required.
o Marketing/event planning experience preferred. Desire to work/learn events required.
o Knowledge of marketing, organic food, and organic farming.
o High level of customer service and communication responsiveness.
o Highly organized with strong attention to detail.
o Self-starter who can manage time effectively and efficiently.
o Process oriented.
o Ability to manage multiple projects and stakeholders at once time.
o Effective communicator both written and verbal with an emphasis on being friendly, timely, concise, yet thorough.
o Strong collaboration skills.
o Self-directed team player who thrives in a fast-paced environment.
o Familiarity with MS Office programs including Outlook, Word, Excel, Power Point, OneNote as well as Google Suite.
o Ability to lift up to 50lbs, and willingness to execute events in all weather conditions.
o Ability to travel as needed, approximately 25% of time. Majority of travel is March – October.
